Job Description

Job responsibilities.

  1. ADMINISTRATIVE FUNCTIONS:
  • Serve as a primary representative of International Medical Corps to coordinate and liaison with the Line Ministries directorates of the Afghan Government.
  • Ensure to receive and respond to the requests and inquiries from the Government.
  • Be responsible to maintain International Medical Corps’ registration up to date all the time.
  • Support the Project Managers to sign the MoUs or other agreements or letters of understanding with the Government offices.
  • Overall responsible for all travel arrangements for International Medical Corps staff both domestic and international by ensuring all travel needs are met in regard to flight, tickets, information, etc strictly in adherence to the organizational and donor regulations.
  • Level of cleanliness, hygiene, and sanitation.
  • Oversee office space maintenance, repair, and utilization. Ensure that all offices look professional.
  • Establish and maintain an appropriate filing system (both hard copies and electronic copies), receive and dispatch official mails.
  • Ensure proper functioning and maintenance of equipment, facilities, and services.
  • Ensure timely compliance with all administrative reporting requirements.
  • Be responsible to organize and coordinate office wide events such as meetings, presentations, shows, holiday festivities and celebrations.
  • Identify emerging administrative and office management challenges on a timely manner and report to the supervisors.
  • Coordinate the communication with the landlord if any changes in the lease agreement terms. Be responsible to provide advance notice to the landlord, if required by the lease agreement terms.
  • Inform the supervisor on time if the lease agreement term is coming to an end and determine the lease extension needs.

 

  1. OFFICE SPACE LEASE/RENTAL:

 

  1. Prepare International Medical Corps Kabul as well as Regional and Project site office building or spare lease agreements in coordination with the Project Managers/Budget holder.
  2. Ensure that the lease agreement terms protect International Medical Corp’s interest. Obtain approvals from appropriate staff or offices.
  3. Coordinate the communication with the landlord if any changes in the lease agreement terms.
  4. Be responsible to provide advance notice to the landlord, if required by the lease agreement terms.
  5. Inform the Project Managers/ Budget holders on timely manner if the lease agreement term is coming to an end and determine the lease extension needs.
  6. In coordination with finance, maintain records of rental payment and taxes paid on behalf of the landlord on annual basis or for the lease period.
  7. INTERNATIONAL STAFF AND CONSULTANTS 
  1. B responsible to obtain and renewal of visa and work permits for international staff and consultant.
  2. Ensure that all records of international staff and consultant are up to date as required by the Government of Afghanistan.
  3. Coordinate and report Senior HR Admin Manager immediately if any issues related to international staff and consultant and their visas and work permits.
  1. LIAISON WITH GOVERNMENT LINE MINISTRIES
  1. Serve as a primary representative of the International Medical Corps to coordinate and liaison with the Line Ministries of the Afghan Government.
  2. Coordinate with relevant offices to prepare and submit quarterly/semi-annual or annual reports as required by the Government of Afghanistan.
  3. Maintain and promote professional relationships with the Line Ministries,
  4. Be responsible to maintain International Medical Corps’ registration up to date all the time.
  5. Support the Project Managers/ Budget holders to sign the MoUs or other agreements or letters of understanding with the Government offices.
  6. Ensure to receive and respond to the requests and inquiries from the Government.

 

  1. TRAVEL
  1. Overall responsible for all travel arrangements for International Medical Corps staff both domestic and international by ensuring all travel needs are met in regard to flight, tickets, information etc strictly in adherence to the organizational and donor regulations.
  2. Responsible to train support staff located in the Regional and Project site offices on all aspects of travel.
  3. Maintain and promote relationships with Travel Agencies.

Safeguarding policy for Staff

  • Respect and follow International Medical Corps Safeguarding policy and never neglect, abuse, harm, and exploit children, young people, and adults at risk,

Report any actual or suspicious harm to the children and vulnerable adults caused by staff and

Job Requirement

  • Bachelor’s degree in Management
  • 5 years’ experience in administration and liaison fields.
  • At least 2- years related experience and/or training with an NGO organization.

LANGUAGE SKILLS:

  • Excellent communication skills (oral & written) in Dari / Pashto / English.
  • Ability to respond to common inquiries or complaints.
  • Ability to effectively present information to management.
