Job Description
Purpose for HR Intern:
The purpose of the HR Intern position is to provide support to the HR department by assisting in various human resources functions, including recruitment, employee records management, training coordination, and employee engagement activities. This role offers the intern an opportunity to gain hands-on experience in HR practices and develop a foundational understanding of workforce management in a professional setting.
Key Responsibilities:
- Post job advertisements on multiple platforms.
- Screen resumes and shortlist candidates.
- Schedule and coordinate interviews.
- Assist in onboarding new employees, including documentation.
- Maintain and organize employee personnel files.
- Update and manage the HR database.
- Track employee attendance, leaves, and absences.
- Help in planning and organizing training sessions.
- Collect feedback from training participants and prepare reports.
- Support performance appraisal processes and compile evaluations.
- Assist in payroll preparation by verifying attendance data.
- Participate in employee engagement initiatives.
- Draft and update HR policies and procedures.
- Respond to routine HR inquiries and escalate issues when needed.
- Perform additional administrative tasks as directed by the HR team.

Purpose for Admin Intern:
The purpose of the Admin Intern position is to support the administrative team in ensuring smooth office operations. This includes assisting with document management, event coordination, office maintenance, and facilitating communication between departments. The role will provide the intern with practical experience in administrative processes and enhance their organizational and multitasking skills.
Key Responsibilities:
- Assist in procuring office supplies and maintaining inventory.
- Support in organizing meetings, conferences, and events.
- Help manage travel arrangements, including flight bookings and accommodations.
- Maintain and update office filing systems.
- Handle incoming and outgoing correspondence.
- Assist in maintaining office equipment and coordinating repairs.
- Support facility management, including office cleanliness and security.
- Coordinate with external vendors for administrative services.
- Prepare and update administrative reports and records.
- Assist in managing contracts and service agreements.
- Ensure compliance with company policies and administrative procedures.
- Respond to general inquiries and direct them to the appropriate department.
- Support in handling petty cash and expense tracking.

Purpose for Procurement Intern:
The purpose of the Procurement Intern position is to assist the Procurement department in sourcing, purchasing, and managing goods and services. The intern will learn about procurement processes, vendor management, and inventory control, gaining valuable insight into the procurement cycle and organizational purchasing strategies.
Key Responsibilities:
- Assist in preparing purchase requests and orders.
- Support vendor research and evaluation processes.
- Collect and compare supplier quotations.
- Maintain and update procurement documentation and records.
- Track the status of orders and follow up on deliveries.
- Ensure proper storage and distribution of purchased items.
- Assist in inventory management and stock control.
- Support in reviewing vendor contracts and agreements.
- Prepare periodic procurement reports.
- Ensure compliance with procurement policies and guidelines.
- Coordinate with departments for procurement needs.
- Assist in managing supplier relationships and resolving issues.
- Support in analyzing procurement data for cost savings.

Purpose for IT Intern:
The purpose of the IT Intern position is to provide technical support to the IT department by assisting with troubleshooting, system maintenance, and network management. The role will help the intern develop technical skills in hardware, software, and network operations, preparing them for a career in IT support and systems administration.
Key Responsibilities:
- Assist in diagnosing and resolving technical issues.
- Support the installation and configuration of hardware and software.
- Monitor network performance and report issues.
- Provide technical support to end-users.
- Document and track IT support requests and solutions.
- Help in maintaining and updating IT equipment inventory.
- Assist in performing system updates and patches.
- Support in data backup and recovery processes.

Job Requirement
- The ideal candidates for the HR, Admin, Procurement, and IT Intern positions should have completed a degree in a relevant discipline (Human Resources, Business Administration, Supply Chain Management, Information Technology, or Computer Science).
- Candidates must demonstrate strong organizational acumen, excellent verbal and written communication skills, and proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
- While prior internship or volunteer experience is preferred, it is not mandatory; however, familiarity with key functions such as administrative processes, procurement workflows, or IT support operations will be advantageous.
- The successful interns should exhibit a proactive learning attitude, the ability to manage multiple priorities, and a capacity to work independently while thriving in a dynamic, fast-paced environment.
- Excellent organizational and multitasking skills.
- Strong interpersonal and communication abilities.
- Proficiency in MS Office (Word, Excel, PowerPoint) and relevant inventory management systems.
