Job Description

Job Purpose:

The Data Entry Officer is responsible for the administration, organization, and entry of logistics data. This includes data on warehousing, stock management, distribution, and other relevant reports.

Duties and Responsibilities:

  • Gather daily data from Central and provincial offices.
  • Record data into DMIS and Odoo databases, ensuring hard and soft copies are
    maintained.
  • Follow up regularly with relevant provinces and FDPs for data collection, stock cards, and documentation requirements.
  • Conduct daily, weekly, and monthly reconciliations with provinces and FDPs through DMIS and Odoo systems.
  • Manage relevant warehouses, ensuring accurate records of commodities received and dispatched.
  • Verify commodity shipment payments for provinces and reconcile them within DMIS and Odoo.
  • Prepare transportation estimates for commodities in each relevant province.
  • Physically count warehouse commodities and reconcile them with the database.
  • Coordinate with FDP staff or other distribution center representatives to ensure timely submission of waybills, inspection reports, and other documents.
  • Maintain a detailed filing system organized by shipment number.
  • Reconcile commodity records with the supply chain and operations departments to ensure accurate distribution to beneficiaries.
  • Prepare data analysis reports on commodity movements, wastage, and losses
    for the logistics director.
  • Support a well-organized filing system (both digital and physical).
  • Liaise with provincial teams on logistical issues related to commodities, including tracking wastage.
  • Regularly back up system files following month-end processing.
  • Collect data from district-level commodity staff.
  • Maintain a register documenting any losses and damages incurred.
  • Train FDP staff or representatives from other distribution centers on commodity tracking databases and data entry forms.
  • Reconcile warehouse records with provincial/FDP records monthly.
  • Conduct physical inventory at warehouses and distribution sites.
  • Perform data analysis, including trend and forecast assessments.
  • Perform any other duties assigned by the supervisor.

Job Requirement

  • Master’s degree in Social Sciences, Computer Sciences, or a related field, with
    a minimum of 4 years’ experience in supply chain, logistics, or contract management; OR
  • Bachelor’s degree with at least 6 years of relevant experience.
