Job Description

Job Summary:

Admin/HR assistant will assist the Project Manager and other project staff in the Admin, HR and logistic relevant responsibilities.

Duties & Responsibilities:

  • Supporting and assisting all the project managers and Administrative staff in the provinces and headquarter through controlling, supervision and training considering the preset procedure.
  • Working for development of Administration, creating formats for administration and standardizing administration daily operation and monthly reports.
  • Collecting standard Administration monthly reports from all the sub office and filing them in a professional manner and provide the management team with consolidated staff information.
  • Supporting and assisting all the project managers and Administrative staff in the provinces and headquarter through controlling, supervision and training considering the preset procedure.
  • Coordinating Administrative/HR activities among the bases.
  • Preparing, follow up and maintaining of the updated staff database for overall organization including contracted and un-contracted staff.
  • Ensure proper recruitment of staff for all the projects and Head Office.
  • Ensure complete personnel file (contracts, timesheets, CV, application form, covering letter and diplomas and all related documents) for each staff are available in Head and Sub-Offices.
  • To ensure the original staff files are available in the head quarter each month.
  • Preparation and follow up of staff list for different projects and ensure providing staff roster for the quarterly report for the donors.
  • Ensure Evaluation of all staff in different projects and its follow up.
  • Preparation of staff Payroll reports and attendance report for each month.
  • Ensuring or checking of the attendance sheet or time sheets in monthly bases.
  • Checking and follow up off days of the staff on the standard days-off follow up database.
  • Ensure that the subordinate staff are working properly and to the maximum extend contribute to the goals achievement.
  • To prepare monthly report on his objectives and achievement and submitted to Finance Manager.
  • Other administrative/HR related tasks.

Job Requirement

  • Bachelor’s degree in Business administration, Economics Marketing or any other relevant field. Master degree will be preferable
  • Minimum 2 years of relevant work experience
  • Previous working experience with National/International NGOs
  • Understanding and respect for organizational principles, vision, mission and confidentiality.
  • Strong logic and organizational skills, flexibility in office working hours
  • Ability to take responsibility, proactive and efficient functioning, strong communication skills.
  • Ability to work in a team and multicultural environment.
  • Accuracy and reliability, ability to meet deadlines under pressure
    • Ability to travel for the assigned task within the provinces of Afghanistan
