Job Description
Job Summary:
Under the direct supervision of the Senior Admin/Finance officer East (the Admin/Finance Assistant for Nangarhar is in charge of the overall implementation of the project Finance and Administrative tasks in ( Nangarhar province ), The Admin/Finance Assistant based in Jalalabad provides technical inputs / support to projects' staff in close collaboration with Admin/Finance officer, Regional managers, and operational teams.).
The Admin/Finance Assistant will be responsible for his daily Financial/administrative task he will be able to travel to Nangarhar districts for Cash distribution and will full support Finance and Administrative department in East zone ,
Weekly and monthly action plan developed for project and closely follow and implement the finance and HR policy for current staff and new hiring staff .
Moreover Admin/Finance Assistant will visit to the field sub office when needed .
Duties & Responsibilities:
Finance tasks:
- Coordinating daily financial task
- Processing invoices and payroll
- Maintaining a digital record of financial documents
- Manage the staff leave balance
- Check the finance supporting documents
- Prepare finance documents for audit
- Visit to the field for cash distribution
- Manage and Work on a weekly petty cash
- Prepare monthly guard rooster
- Prepare refreshment distribution lists on monthly basis
- Do a weekly clearance with log Assistant
- Allowances and rent payments in the districts
- Provision of refreshments for training participants in the districts of intervention
- Provision of the refreshments to project beneficiaries ( children).
- Livelihood materials are prepared ( sub grants, Vocational training etc ) as per the project staff request to be delivered to the districts with distribution list prior organized.
- Drafting Donor monthly and quarterly reports ( UNICEF FACE Form , quarterly reports etc).
- Handling of physical cash, managing transfers from Main office to the field offices etc.
- Regular field visits to cross check Volunteer payments , cash payments etc.
HR Task :
- Check the project staff attendance and report to line manager
- Check all project staff personal HR files .
- Meeting with Guards and closely follow the guards leave and Roster .
- Regular follow the project staff leaves and time sheet
- Lead the HR tasks when HR officer on leave .
- Complete the new staff HR documentation .
- Any other tasks which is assigned by his/her line manager
Job Requirement
- University Degree with Strong knowledge of accounting & administration
- At least 3 years experience in the field of Admistartive and Finance
- Technical skill
- Good computer skill
- Good communication skill
- Able to speak Dari/Pashto and English
