Job Description
The Transport Officer is responsible for managing and coordinating the daily transportation needs of the organization, including the maintenance and monitoring of all company vehicles such as armored vehicles, Tundra, Lexus, Hilux, Toyota 4Runner, Corolla, and others. The role involves overseeing fuel usage, ensuring proper maintenance of vehicles, maintaining vehicle logbooks, and installing and monitoring GPS systems. The Transport Officer will also be responsible for driver supervision and ensuring compliance with company policies on vehicle usage and safety.
Key Responsibilities:
- Ensure the efficient deployment of all vehicles, including armored vehicles, Tundra, Lexus, Hilux, Corolla, and others, to meet the organization's operational needs.
- Schedule and oversee routine and preventive maintenance for vehicles, including oil changes, tire rotations, brake inspections, and other necessary services.
- Ensure that all vehicles are clean, well-maintained, and equipped with the necessary tools and safety equipment.
- Monitor and record fuel consumption of all vehicles to ensure efficient fuel usage.
- Oversee the management and replenishment of vehicle fluids such as oil lubricants, antifreeze, brake fluids, and others to maintain vehicle performance.
- Track fuel purchases and coordinate with the finance department for timely payments.
- Ensure that drivers are compliant with logbook record-keeping procedures and that vehicle records are updated daily & Installing GPS tracking systems in all vehicles and ensure they are functioning properly.
- Monitor vehicle movements using the GPS tracking system to ensure adherence to assigned routes and schedules.
- Generate and analyze GPS reports to monitor vehicle usage, detect any unauthorized trips, and track the location of company vehicles.
- Manage and supervise all drivers, including armored car drivers for the CEO, ensuring they follow company policies, traffic regulations, and safety procedures.
- Conduct regular performance evaluations of drivers and provide guidance or training when necessary.
- Ensure that all vehicles have up-to-date registrations, licenses, and insurance coverage.
- Handle any issues related to vehicle licensing and inspections in compliance with local regulations.
- Ensure that all vehicles are equipped with safety gear, such as seat belts, fire extinguishers, and first aid kits.
- Monitor vehicle safety standards, ensuring all vehicles meet the safety guidelines and are roadworthy.
- Conduct regular safety inspections and ensure compliance with transportation policies and regulations.
- Prepare and manage the budget for the transport department, including costs for fuel, maintenance, repairs, and other vehicle-related expenses.
- Establish and maintain emergency response procedures for vehicle breakdowns or accidents.
- Prepare and submit regular reports on vehicle usage, maintenance schedules, fuel consumption, and any incidents related to the transportation department.
- Document all transportation-related expenses and provide detailed reports to management as required.
- Manage the procurement of vehicle spare parts, tools, and consumables, ensuring that the transport fleet is equipped for ongoing operations.
- Coordinate with suppliers for timely delivery of parts and supplies needed for vehicle maintenance.
- Build and maintain relationships with external vendors, including vehicle maintenance service providers, fuel suppliers, and GPS system providers.
- Negotiate contracts and agreements with suppliers to ensure competitive pricing and quality services.
- Implement preventive measures to minimize vehicle wear and tear and avoid expensive repairs.
- Conduct regular training for drivers on safe driving practices, vehicle maintenance, and the proper use of GPS and other technological tools.
- Ensure that all drivers are knowledgeable about emergency protocols in case of breakdowns or accidents.
- Coordinate any additional assignments related to transportation as required by management.

Job Requirement
Qualifications:
- Education: Bachelor’s degree in Logistics, Transportation Management, or a related field is preferred.
- Experience: Minimum 5 years of experience in transport management, including the supervision of drivers and maintenance of various types of vehicles.
- Skills: Strong organizational skills, excellent communication, GPS monitoring expertise, mechanical knowledge, and problem-solving abilities.
- Language: Proficiency in both written and spoken English; knowledge of Pashto or other local languages is an asset.
