Job Description
The Operation Director for the Project is responsible for overseeing the overall activities of operation department, ensuring efficient coordination with clients, and effective collaboration with various stakeholders. The role requires strong leadership skills, project management expertise, and the ability to drive operational excellence to achieve project goals.
Duties &Responsibilities:
- Coordinate with clients to understand project requirements, objectives, and timelines.
- Develop and maintain strong relationships with clients, ensuring regular communication and addressing their concerns.
- Collaborate with cross-functional teams to ensure smooth project execution and timely delivery of products to the client.
- Establish effective channels of communication and collaboration with stakeholders to align project activities.
- Coordinate with stakeholders to resolve any issues or conflicts that may arise during the distribution process .
- Develop distribution plans, including timelines, resource allocation, and risk management strategies
- Monitor distribution progress, identify potential bottlenecks, and proactively take corrective actions.
- Ensure compliance with project specifications, quality standards, and regulatory requirements.
- Manage and optimize the allocation of resources, including personnel, equipment, and budget.
- Collaborate with the HR department to train, and develop project staff as needed for the distribution.
- Monitor resource utilization and identify opportunities for cost savings and process improvement.
- Prepare regular reports on distribution progress, including milestones achieved, challenges faced, and plans.
- Present project updates to senior management and stakeholders, highlighting achievements and recommending improvements.
- Revise and/or formulate policies and promote their implementation for streamlining operation and accountability.
- Develop and Formulate workflow guidelines and procedures for employees
- Develop and formulate policies and procedures for improvement of day-to-day operations.
- Develop guidelines for standard reporting and communication mechanism
- Develop regular training manuals for operation and distribution staff
- Manage relation and communication with all stakeholders such as WFP, Implementing Partners (CP), and government entities
- Ensure that all information and data specially the reconciliation forms from the provincial office are captured and documented
- Daily on time reporting of daily progress reports to all stakeholders (WFP, CP)
- Plan and monitor the day-to-day running of operation to ensure smooth implementation
- Coordinating with Supply Chain Management and logistics department forecasting the quantity of required product prior to distribution
- Putting together and formulating distribution teams for food distribution points (FDP)
- Direct and oversee operation staff to ensure they are motivated and trained to carry out their responsibilities to the required standards.
- Preparing cycle basis operation department analysis report and identifying cost saving areas .
- Any other task assigning by line of mangers
Job Requirement
Master degree in Business, Operation Management, Project Management , community development or Equivalent degree with at least 5 years related working experience or Bachelor Degree with 7 years related experience.
