About International Foundation of Hope (IFHope): The international foundation of hope (IFHope) a US based not-for-profit organization are looking for a dynamic financial admin assistant to join the IFHope office in Jalalabad, Nangarhar. In this role, the incumbent will work with the financial administrator to record all the financial transactions, as well as process invoices, purchase orders, and payroll. The incumbent will also be in charge of coordinating different office and field activities, such as, facilitating plans executions, filing and reporting, ensuring the office is organized and tidy. To ensure success as a financial admin assistant, the incumbent should have business acumen and the ability to complete various complex financial tasks accurately and efficiently. Ultimately, the incumbent should be a highly organized and process-driven individual with the ability to handle confidential information.
Job Description
Financial Management and Accounting
Ensure completeness of supporting documentations for payments and receipts
Invoice coding and data posting on daily basis.
Responsible for petty cash disbursements, replenishment and petty cash count.
Ensure bank and petty cash transactions are recorded on a daily basis
Prepare monthly cash-flow control sheets with original documents of all transactions and send them to financial reporting links.
Review field budget activities to ensure cost efficiency
Ensure all transactions are processed and ready in time for month end and quarter end close as per agreed timetable.
Ensure all procurements comply with policy & procedure
Manage filing/archiving of all documents and admin files (including invoices, payment vouchers, credit memos, expense reports, AP adjustments) etc
Maintaining a digital record of all financial transactions, documents, and supplier information.
Coordinating daily financial tasks with the management team to optimize workflow.
Compiling financial data to prepare monthly revenue and expense reports and ensuring that all data is accurately recorded and reported.
Administrative Management
Responsible for correspondences, preparation of contracts and sending invitations
Take responsibility for the maintenance of all office equipment
Meeting minutes and reporting
Coordinate and organize field staff documentation such as planning, work schedules and other documents needed for the execution of master plan.
Assist in providing management responses to all stakeholders and timely implements the expert or executive recommendations.
Maintaining an organized and comfortable office environment, and updating, reports, records, inventory and activities.
Responsible for fixed assets management
General Responsibility
Undertake any other official duties as assigned by the management of the IF Hope.
Profile
At least 3 years’ experience in accounting and finance in the field of international NGO´s or private sector.
A university degree in Commerce, Accounting or Finance including Degree in Economics or Business Administration
Demonstrable skills in the development of finance and accounting policies, procedures and systems in the context of an international NGO
Good knowledge of fund accounting including reporting requirements
Excellent English and knowledge of local languages an asset.
