Job Description

Your role

You will be part of the highly motivated WCUK team to support War Child’s operations in Afghanistan. As part of this team, you will be responsible to assist the Procurement Manager for coordination and implementation of procurement activities and oversee the procurement of goods and services from implementation of purchases to monitoring adherence to regulations and procedures. You will also provide training for staff and procurement coordination to support the implementation of War Child’s programs.

Your responsibilities

  • Procure quality goods and services in compliance with War Child’s procurement policies and procedures, including Purchase Committee proceedings/results.
  • Conduct market surveys of regularly purchased goods / supplies and maintain a preferred vendors’ database and price lists. Share information with Purchase Committee for relevant purchasing decisions.
  • Negotiate price, deadlines and methods of delivery with vendors. for favorable rates, including preferred rates with select vendors.
  • Ensure that relationships with suppliers are monitored.
  • Establish vendor accounts for delivery and billing services.
  • Compose and archive purchase orders and maintain accurate documentation on vendors, quotes, and purchase orders in a timely manner.
  • Verify and process quotes request and order forms.
  • Prepare accurate monthly procurement reports.
  • Ensure that Goods Received Notes (GRN), Purchase Requisition, Purchase Order are recorded, and bills for payment with finance have appropriate approvals.
  • Assist emergency response team in regular procurement planning meetings.
  • Prepare the required documentation of supplies and transactions are completed to War Child standards.
  • Preparation of status reports on deliveries and recipient of supplies.
  • Training staff on Procurement policies, processes and standards.
  • Supervise the maintenance and securing of warehouses.
  • Support Logistics with inventories, logistical training and any other appropriate support required.
  • Contribute to creating a culture committed to the safeguarding of children and adults and compliant to WCUK’s Child Safeguarding and Adults at Risk Policies.
  • Any other related duties as assigned by LM.

Job Requirement

  • University Degree in relevant field.
  • 4 Years’ experience in procurement administration or coordination.
  • Understanding of the full cycle of procurement from liaising with vendors to managing procurement process to compliance with policies and processes.
  • Proficiency in English, Pashto and Persian languages is highly essential, [i.e., reading, writing and speaking]
  • Computer literate and strong organization skills.
  • Excellent sense of judgment, ability to work simultaneously on multiple tasks and ability to work effectively with a wide variety of people from various backgrounds.
  • Objective, reliable individual with effective verbal and written communications skills.
  • Accountable to their own work.
  • Ability to be flexible and can work under pressure.
