Background to AFIAT Project ELCS serves as core partner to Management Sciences for Health (MSH) in a USAID funded Assistance for Families and Indigent Afghans to Thrive (AFIAT) project. The project works to improve access to, delivery of quality health and nutrition services in the country. Working with Ministry of Public Health and other partners including private sector institutions, AFIAT will strengthen performance of the Afghan healthcare system through a range of technical assistance activities targeted at different levels of the health system outlined in the two main packages of BPHS and EPHS.
Job Description
- Produce documents including letters/ emails/ reports/ presentations to a standard by the required deadline
- Printing and photocyping of documents
- Respond to queries by employees, clients and partners
- Oversee and manage office activities
- Maintain regular communication with staff from different departments and provide necessary support and information
- Oversee office maintenance to ensure equipments and furniture, and other office instruments are in good shape and condition.
- Preparation of the lists of the offices needs and it’s follow up with related departments
- Make an inventory and keep the records of all the assets/equipment available at office
- Assist in preparation of the filing systems for important and confidential documents
- Assist staff in arrangement, and scheduling of seminars, workshops, trainings and meetings.
- Make travel arrangements, processing requests for visas, working permits for national and international staff, purchase airline tickets etc.
- Responsible for keeping records office contracts
- Oversee and supervise preparation of lunch in a proper and hygienic condition
- Supervise and monitor support staff’s (guards, cook, cleaner) work and their attendance and report to relevant department
- Prepare support staff timesheets in submit to relevant department
- Resposible for taking and writing the meeting minutes and distribute accordingly amoung the participants
- Provide on the job training for subordinates including support staff on issues surrounding office maintenance, cleanliness, safety and security
- Assist operations team with documentation when required
- Arrange travel and accommodation when required
- Administer payments and transactions including employees claim
- Ensure that all responsibilities are carried out in accordance with company policies and procedures
- Undertaking such other duties as may reasonably be required from you
Job Requirement
- Bachelor’s Degree in Business Administration or related subject with three (3) to four (4) years experience
- Proven experience as admin officer or in a similar role
- Ability to implement operational plans of the company or project
- Experience with MS Office Applications Word, Excel, PowerPoint
- Excellent written and verbal communication skills with ability to communicate in local languages and English
- Flexible and ability to work individually or as part of a team
- Strong attention to detail
- Good organization and problem solving skills
- Ability to meet deadlines
- Ability to work under pressure while prioritising tasks effectively
- Ability to produce accurate and quality reports, presentations and summary of minutes
- Previous experience working with USAID’s project or knowledge of USAID’s policies and procedures is preferred but not essential
