Job Description

The overall responsibility of the position is to handles the daily administrative, Procurement and HR duties of an organization. He/she assist HR manager with recruitment, record maintenance, and provide clerical support to all employees. Also, he/she will assist National Procurement Coordinator with all procurement related tasks.
is also required to maintain strict confidentiality all the times and ensures that HR & Procurement data is fully secured and preserved, with taking proper and regular back-up and data is not shared outside the department and organization unless permission is granted by the Country Director.
Key Duties and Responsibilities:
HR Activities:
• Work closely with HR Manager to ensure that day to day operations of the HR functions and duties are done in the proper manner.
• Do the proper filing based on the checklists (make sure that documents they are given are filed and labeled correctly for later use, do the follow up about the missing documents and make sure that files are up to the date).
• Assist HR Manager with the recruitment process (scheduling and setting dates for interviews, Contacting the candidates about the interview, preparing of the interview packages, Scanning the documents and following up with successful candidates.)
• Updating our internal databases with new employee information like (contact details, new Positions, new contract start and end date, new locations and employment forms).
• Scan, print and copy the necessary documents.
• Perform any other tasks assigned by supervisor.

Procurement Activates:
• Proper use and processing of procurement paperwork and send to National Procurement Coordinator for review of provincial base procurement. To enforce proper use of procurement cycle and approval procedures throughout ME procurement cycle.
• Ensure in line management of National Procurement Coordinator that the procurement plan is very properly implemented. To assist the Nation Procurement Coordinator for the purchases and procurement of items, assets, inventories and services for the organization, re-verify quotation, processes and documentations
• Ensure the timely delivery of quality products and services at the best possible cost. Participate in the selection of suppliers/vendors and contractors based on a criteria in provincial level for small or local procurement with consultation of National Procurement Coordinator.
• Support National Procurement Coordinator to ensure that ME’s procurement activities are as per organization policy and procedure and discuss with National procurement coordinator each step of procurement.

Job Requirement

• University Degree
• Two years working experience in the area of HR and Procurement in a medium scale organization. Experience with INGO is appreciated.
• Computer Skills (MS. Office)
• Clever and quick learner
