Job Description

Job Purpose:

This post is essentially to oversee and manage the International Medical Corps Balkh field Administration and IT function, responsible for managing, leading, planning, and monitoring ICT systems and providing IT support to the IMC staff in the daily operations. Manage the administrative tasks of the office supplies, like admin stock, stationery, kitchen food stock, supervising cook, cleaners, and maintenance service staff.

Main Duties & Responsibilities:

  • Ensure to receive and respond to requests and inquiries from the government.
  • Oversee office space maintenance, repair, and utilization. Ensure all offices look professional.
  • Establish and maintain an appropriate final system filling system(both hard copies and electronic copies), receive and dispatch official email.
  • Overall responsible for all travel arrangements for international medical corps staff both domestic and international by ensuring all travel needs are met regarding flight, tickets, information, etc. strictly in adherence to the organization and donor requirements.
  • Level of cleanliness, hygiene, and sanitation.
  • Ensure proper functioning and maintenance of equipment, facilities, and services.
  • Ensure timely compliance with all administrative reporting requirements.
  • Be responsible for organizing and coordinating office-wide events such as meetings, presentations, shows holiday festivities, and celebrations.
  • Identify emerging administrative and office management challenges promptly and report to the supervisor.
  • Coordinate the communication with the landlord if any changes in the lease agreement terms. Be responsible for providing advance notice to the landlord, if required by lease agreement terms.
  • Inform the project managers promptly if the lease agreement terms are coming to an end and determine the lease extension needs.
     
  • IT section:
  • Ensure adequate security measures exist to secure ICT resources including proper access control measures, specifically to IMC office 365 share point, one-drive and cloud services, data repositories, and internal ICT services.
  • Good knowledge of implementing maintaining, configuring, and assisting with unified access points and unified system controllers.
  • Identifying relevant problems and issues and assisting in formulating implementation-oriented solutions.
  • Further developing instruments and assisting in introducing innovation and change.
  • Managing knowledge by disseminating and documenting know-how, experience, and Information.
  • Good Knowledge of Cisco, Mirotic Appliances configuration, and maintenance.
  • Configures and assists in maintaining Biometric attendance machines.
  • Monitoring the state of hardware and software in use and consultation with management, helping purchase and improve hardware and network, assisting with testing new hardware systems, and identifying, and options for upgrading existing systems and peripherals.
  • Deals with maintenance, purchase, and improvement of servers, PCs notebooks. Printers, digital cameras, Scanners, and other hardware components.
  • Assure the network design and hardware maintenance as well as implement network and hardware for project office and provincial offices, including server hardware, email, and network, and end device security systems, business applications, collaboration tools, operating systems, and other applications. In coordination with the IT senior officer, draft plans and specifications for the requisition of equipment and services related to networking, backup, redundancy, and security systems.
  • Use network management and monitoring tools to prepare problem-analysis reports, and resource utilization data, detect potential intrusions, Suggest Measures for network efficiency maximizing, and provide recommendations and reports for review and analysis.
  • Monitor regional offices' computers and network, upgrade antivirus and Malwarebytes.
  • Develop protocols for the installation, maintenance, troubleshooting, and upgrade of all ICT equipment, networks, and systems.
  • Visit regional offices to provide IT support and monitor the ICT systems. Implement network bandwidth management in the field office fouters and Balkh main office
  • Organize and deliver ICT training and workshops when necessary concerning all technical implementation and operation of networks, infrastructure, communication, and other systems.
  • Work collaboratively across a variety of business units to implement new technology, and support existing, and at times do so after normal business hours. Monitor systems and network (LAN, WAN) and perform daily control of servers and data integrity tasks.
  • Establish relationships with other IT partners like ISPs, suppliers, and providers to ensure quick turnaround of new installation of equipment, accessories, consumables, and spare parts.

As applicable to the position, maintains a clear understanding of International Medical Corps and donor compliance and ethics standards and adheres to those standards.  Conducts work with the highest level of integrity.

Job Requirement

Qualifications:

  • BCS / MCS (IT Networking).
  • Microsoft certification MCSA / MXSE is desirable.
  • CISO certificates CCNP is desirable.

Experience:

  • At least 3-5 years of professional experience in the field of IT/Digitalization in Human Resources and administration field in governmental or nongovernmental organizations.
  • Previous experience in managing IT systems in large organizations, internationalorganizations, or NGOs will be an advantage.
  • Experience in conducting IT-related training.

Competency:

  • Soil understanding of business practices with a fundamental understanding of project management methodology.
  • Results-oriented and self-motivated with the ability to take ownership of IT projects and deliver them on time and within budget.
  • Must be able to handle multiple projects simultaneously while dealing in a high-pressure environment.
  • Maintain strong attention to detail.
  • Able to work overtime on weekends or holidays required by the supervisor or program or any other tasks need to be completed.
  • Must be honest, well-mannered, polite, and vendors/ suppliers.
  • Excellent communication skills (oral and written) in Dari/ Pashto / English.
  • Ability to Effectively present information to management.
  • Excellent communication and interpersonal skills.
