Job Description

Purpose of the Role

The customs Assistant will support the customs compliance team in ensuring that all import and export activities adhere to relevant regulations and company policies,

This role involves liaising with customs authorities, preparing documentation, and maintaining accurate records to facilitate smooth operations.

Key Responsibilities:

  • Assist in preparing and submitting customs documentation for imports and exports.
  • Ensure compliance with local and international customs regulations.
  • Liaise with customs authorities and stakeholders to resolve issues related to shipments,
  • Maintain up-to-date knowledge of customs laws and procedures affecting the oil and drilling industry.
  • Monitor and track shipments to ensure timely clearance.
  • Collaborate with internal teams (logistics, procurement, finance …) to streamline customs processes.
  • Prepare and maintain records and reports related to customs activities.
  • Support audits and inspections by providing necessary documentation and information.
  • Maintains a good filing system for incoming and outgoing shipments.
  • Customs Documentation:
    • Prepare and verify customs documents required for import and export of equipment and materials, including invoices, bills of lading, certificates of origin, and packing lists.
    • Ensure that all documentation complies with local and international customs regulations.
  • Customs Compliance:
    • Ensure compliance with national customs laws, oil and gas industry standards, and corporate policies.
    • Stay updated on changes in customs laws and regulations affecting oilfield operations.
  • Import/Export Coordination:
    • Coordinate with customs brokers, clearing agents, and freight forwarders to facilitate customs clearance.
    • Track shipments and coordinate with warehouse or logistics teams to manage the flow of goods to the oilfield site.
  • Record Keeping and Reporting:
    • Maintain accurate records of all customs documentation, duties paid, and any other relevant customs-related information.
    • Prepare and submit regular reports on customs transactions, including cost analysis of duties, fees, and penalties.
  • Liaison with Authorities:
    • Serve as a point of contact between the company and customs authorities, addressing any issues or concerns that arise during inspections or customs checks.
    • Facilitate on-site customs inspections and work closely with government agencies to resolve any compliance issues.
  • Support Logistics Operations:
    • Collaborate with logistics teams to manage the timely movement of equipment, materials, and spare parts essential for field operations.
    • Assist in the planning of shipment schedules to optimize delivery timelines and minimize customs delays.
  • Duty Exemption Management:
    • Identify and manage items eligible for duty exemption, working closely with government authorities as required.
    • Prepare and submit duty exemption applications when applicable and maintain records of exempted items.

Job Requirement

  • Bachelor’s degree in Business Administration, Logistics, or a related Field.
  • Previous experience in customs operations or logistics, preferably in the oil and drilling sector.
  • Knowledge of customs regulations and procedures.
  • Knowledge of INCOTERMS
  • Strong organizational and analytical skills.
  • Excellent communication and interpersonal abilities,
  • Proficient in Microsoft Office Suite and customs management software/s.
  • Knowledge of Tariff systems, and the ASYCUDA world system.
  • Fluency in English and the national language of the duty station
  • Skills:

  • Strong understanding of customs regulations, including import/export processes and duty exemption applications.
  • Familiarity with logistics management, freight forwarding, and the oilfield supply chain.
  • Excellent organizational and time management skills, with the ability to handle multiple shipments and deadlines.
  • Competencies:

  • Attention to Detail: High level of accuracy in handling documentation and compliance requirements.
  • Communication: Effective communication and interpersonal skills for interaction with customs officials, freight forwarders, and internal teams.
  • Problem-solving: Ability to resolve customs-related issues quickly to minimize delays.
  • Analytical Thinking: Skilled at analyzing customs duties, fees, and regulatory costs.
  • Additional Requirements:

  • Familiarity with customs software, databases, and Microsoft Office Suite.
  • Knowledge of oil and gas equipment and materials is an asset.
  • Willingness to travel to oilfield sites and customs checkpoints if required.
