Job Description

Job Purpose:

The position’s purpose is to assist the logistics department on procurement; logistics supply chain management, Gift-in-Kind donations, asset/Inventory management, fleet management and reporting activities, and follow up with the related departments.

Main Duties & Responsibilities:

  • Procurement:
  • Under the direct supervision of the field office supervisor and line manager Daikundi is responsible for managing the logistical and procurement activities for the smooth running of projects. 
  • Ensuring up-to-date procurement tracking sheets are maintained and shared with relevant programs.
  • Adhering to IMC and its donor’s procurement rules and regulations
  • Preparing internal and external audit reports when required
  • Assist in asset/inventory in overall asset/inventory management
  • Submission of monthly reports
  • Ensure that procurement decisions are in IMC’s best interest with regard to but not limited to value for money, use of reliable and ethical suppliers, promotion the use of appropriate technology, support of the local initiative, and production where appropriate and possible.
  • Receive and release Gift in Kind and other kinds of project goods and maintain all records in files up to date
  • Implements, controls, and maintains an effective communications system with other departments in an effective way.
  • Receipt of all goods delivered by suppliers and handed over to the project and ensures the correct quality, quantity, and early delivery to end users.
  • Stocking/warehouse management and report writing methods and procedures when required
  • Attend weekly departmental and management meetings and present logistics activities update related to the project activities
  • Regular weekly and monthly report to the project in charge and country Logistics department
  • Other tasks assigned by the supervisor
  • To maintain proper records and filing system for all Afghanistan logistical matters
  • To establish close coordination with program and another team including country-relevant departments
  • Ability to cope with stressful situations and work with limited resources.
  • Outstanding organizational skills.
  • Manages and oversee site asset and inventory records and reporting system.
  • Manges site store, warehouse all activities and to see storekeeper or warehouse store in charge follows warehouse guideline procedures.
  • Manages vehicle fleet and drivers and transportation unit.
  • Manages all properties lease agreements.

  • Actively promote PSEA (Prevention of Sexual Exploitation and Abuse) standards within International Medical Corps and amongst beneficiaries served by International Medical Corps.

Compliance & Ethics:

  • Promotes and encourages a culture of compliance and ethics throughout the International Medical Corps. As applicable to the position, maintains a clear understanding of International Medical Corps and donor compliance and ethics standards and adheres to those standards.  Conducts work with the highest level of integrity

Job Requirement

Qualifications:

  • University graduate from a recognized University in Business Administration, business management, economic, finance & accounting, commerce or related field.

Experience:

  • At least 2 years of experience in Logistic/Procurement field in similar roles.
  • Expertise in Microsoft Office including Word, Excel, PowerPoint Excel and internet is required.

Competency:

  • Ability to read, analyze, and interprets legal documents
  • Strong communication and negotiation skills (oral & written) in English.
  • Ability to respond to common inquiries or complaints from requisitioners, or any other related sections.
  • Proficiency in Microsoft Office and logistical/ supply chain software
  • Ability to effectively present information to top management.
  • Attention to details.
