Job Description
Job Summary:
The Admin Officer is responsible for overseeing and ensuring the efficient management of the organization’s administrative operations, including procurement, transport, security, stock management, and maintenance of office facilities. The role requires strong organizational and multitasking skills to ensure seamless support to all departments.
Key Responsibilities:
- Manage daily administrative functions, ensuring the smooth operation of the office.
- Oversee office supplies and equipment, including stock management and procurement of necessary items.
- Provide administrative support to departments, ensuring the timely provision of resources.
- Assist in procurement processes in line with organizational policies.
- Manage and track office stock, including consumables, equipment, and materials.
- Ensure proper stock inventory, regularly conducting audits to prevent shortages or overstocking.
- Coordinate with the Procurement Officer to ensure timely ordering, receipt, and distribution of stock and supplies.
- Supervise accurate records of stock levels and forecast future supply needs.
- Oversee the maintenance and use of office vehicles, including scheduling, fuel monitoring, and logbook checking.
- Monitor vehicle registration, insurance, and ensure timely servicing.
- Monitor proper maintenance and functionality of generators, coordinating fuel supply and repairs as needed.
- Schedule regular inspections and servicing to prevent operational disruptions.
- Supervise security personnel to ensure the safety of office premises and staff.
- Manage security logs, guard schedules, and emergency response protocols.
- Regularly assess security systems and recommend improvements as necessary.
- Oversee the gardening team to maintain clean and appealing outdoor office spaces.
- Ensure regular maintenance of office facilities, including cleaning, minor repairs, and necessary refurbishments.
- Liaise with external vendors and contractors for services such as repairs, cleaning, and security.
- Negotiate contracts, ensuring timely and cost-effective delivery of services.
- Maintain accurate records of office assets and stock.
- Conduct regular stock inventories and ensure proper tagging, usage, and storage of assets.
- Ensure timely replenishment of office supplies and manage stock levels to avoid shortages.
- Ensure all administrative tasks comply with organizational policies and local regulations.
- Prepare periodic reports on administrative activities, including procurement, stock levels, and vehicle usage.
- Assist staff with logistical arrangements, including travel, meeting setup, and communication.
Job Requirement
- Bachelor’s degree in Business Administration, Management, or related field.
- 3-5 years of experience in a similar role, preferably in an INGO or large organization.
- Strong knowledge of procurement, stock management, fleet management, and facility maintenance.
- Excellent organizational and multitasking skills.
- Strong interpersonal and communication abilities.
- Proficiency in MS Office (Word, Excel, PowerPoint) and relevant inventory management systems.
- Knowledge of local security protocols and compliance requirements.
