Job Description

Major Duties and Responsibilities

Procurement of goods and services that will be requested by the program and processing quotations for materials and services.

Collaborate with program and project teams to understand procurement needs and timelines.

Conduct market research and analysis to identify potential suppliers, vendors, and evaluate their performance.

Prepare and issue Requests for Quotations (RFQs), Requests for Proposals (RFPs), and Invitations to Bid (ITBs);

Negotiate contracts and agreements with suppliers to secure the best terms and conditions.

Ensure procurement activities comply with organizational policies, donor requirements, and relevant regulations.

Evaluating supplier proposals and negotiating prices and terms.

Maintaining accurate records of procurement activities and contracts.

Coordinating with internal departments to ensure timely delivery of goods and services.

Assisting with the development and implementation of procurement strategies and policies.

Monitoring and tracking inventory levels to ensure adequate supply.

Resolving any issues or discrepancies with suppliers and vendors.

Assisting with the evaluation of supplier performance and identifying opportunities for improvement.

Providing administrative support to the procurement team, such as scheduling meetings, preparing reports, and maintaining the supplier files.

Having proper assistance in all parts of Administration (procurement, transportation, stock management, filing system, documentation of all related documents) based on need.

Implementing all the procurement and logistic procedures, policies, and threshold in procurement cycle.

Cooperating with the storekeeper in Nili Office and making sure the materials/equipment in the office stocks are recording and registering regularly and properly. (Maintain the In-Out system for all inventory and goods in stocks);

Must be fully aligned with National Procurement Authority (NPA) and donor procurement policies and procedures.

Being familiar with NAC procurement policy, handbook and threshold.

Any other tasks assigned by supervisor and head of region.

Job Requirement

Language requirements, if any:

Fluent in Dari with basic Pashto and English knowledge.

Qualifications Required:

Bachelor’s degree in business administration, Supply Chain Management, or a related field.

Work Experience:

3 to 4 years of relevant professional experience.

Prior work experience with international humanitarian organizations or nongovernmental organizations in a multi-cultural setting is an advantage.

Skills:

Strong knowledge of procurement principles and practices.

Proficient in Microsoft Office applications e.g. Word, Excel, PowerPoint, Email, Outlook.
