Job Description

JOB SUMMARY

The Support Officer at the Muslim English Language Institute is responsible for ensuring the smooth operation of the Muslim English Language Institute (MELI) by providing administrative and logistical support across various departments. This role combines responsibilities in attendance monitoring, exam administration, financial management, and student support.

RESPONSIBILITIES

  • Manage student attendance records using the institute's ERP system and maintain accurate data.
  • Conduct regular class visits and record attendance.
  • Control classroom access based on student fee payment status.
  • Guide expelled students on payment procedures to rejoin classes.
  • Collaborate with the Branch Manager, Exam Department, and counselors to plan exam timetables and schedules.
  • Provide students with detailed exam information including dates, timings, and procedures.
  • Securely retrieve exam papers and keys, conduct exams ensuring a fair environment.
  • Check exam papers, record marks accurately, and collect student recordings to assess fluency.
  • Dispatch marks and recordings to the Exam Department and retrieve final results for announcement.
  • Collect student fees using established procedures and record them accurately in the ERP system.
  • Assist with budgeting and manage petty cash funds responsibly.
  • Prepare basic financial reports (e.g., daily fee collection reports) using spreadsheets.
  • Ensure adherence to financial policies and procedures.
  • Answer student inquiries regarding fees, discounts, refund policies, and enrollment procedures.
  • Facilitate student transfers between class timings upon request and coordinate with relevant departments.
  • Assist with exam preparation and provide basic administrative support to students.
  • Adherence to MELI policies and procedures to ensure a smooth and productive working experience.
  • Undertake any other duties as assigned by Branch Manager.

Job Requirement

  • Bachelor's degree in BBA, Economics or any other related field.
  • Minimum of 2 years of experience in a related role.
  • Strong organizational skills and the ability to prioritize tasks effectively.
  • Excellent attention to detail to ensure accurate attendance records.
  • Proficiency in using electronic attendance management systems or ERPs.
  • Possess qualities of humility, maturity, respectfulness, honesty, and integrity.
  • Excellent written and spoken English skills.
  • Have command of both National Languages (Dari & Pashto)
