Job Description

ROLE PURPOSE:

The Fleet and Asset Assistant should ensure the effective coordination of all travel movements, and develop weekly movement plans with assigned drivers. Additionally, s/he will bear responsibility for the maintenance and management Asset in field office.

Fleet

Movement planning:

  • Receive weekly updates from teams on their movement plans for the week ahead and assign drivers accordingly.
  • maintains careful records for driver attendance and overtime records, vehicle log books and vehicle maintenance reports.
  • Maintain overall accountability for the condition of vehicles and cross-check of weekly movement plans with Safety and Security.

 

Generator management:

  • Ensure that generators are regularly maintained.
  • Ensure that generators are securely stored in shaded areas.
  • Monitor fuel consumption and facilitate the purchase of fuel if needed.

 

Reporting and Documentations

 

  • Prepares monthly fleet reports and implement fleet improvement as necessary
  • Ensure that drivers are well briefed on Save the Children’s ‘red lines’ with regards to transportation of items in insecure areas.
  • Maintain a very well organized filing and documentation system, hard and softcopies, for all Procurement processes documents for asset and fleet.
  • Scan all documents related to fleet and asset and record the soft copies in appropriate HDD.
  • Any other tasks assigned by supervisor

Asset Management

  • Ensure that all SCI program assets are logged on the programme asset register and issued with unique SCI Asset ID numbers. Maintain tracking system of all equipment issued to the staff and that staff are trained in the use and care of equipment issued to them
  • If an asset is procured at the provincial office level, it has to be immediately reported to the CO Asset Management focal person.
  • Flag any asset that are due for disposal and replenishment.
  • Identify items of obsolete/beyond economic repair or surplus to requirement to be disposed of based on SCI asset disposal policy.

  • Graduate degree in Social Sciences, Business Administration or related field. 1+ years supply chain experience.

  • 1+ years of supply chain experience

  • Fluent in Pashto Dari and English
  • Good self-starter with effective time management skills
