YPCAO has been established to provide humanitarian supports, based on the principles of human rights, Islamic and cultural values of our country and socio-economic sustainability to the vulnerable people of Afghanistan. Job Description
Job Description/Duties and Responsibilities:
- Plan and coordinate administrative procedures and systems and devise ways to streamline processes
- Manage schedules and deadlines
- Monitor inventory of office supplies and the purchasing of new material with attention to budgetary constraints
- Ensure operations adhere to policies and regulations
- Maintains administrative staff by recruiting, selecting, orienting, and training employees; maintaining a safe and secure work environment; developing personal growth opportunities
- Accomplishes staff results by communicating job expectations; planning, monitoring, and appraising job results; coaching, counseling, and disciplining employees; initiating, coordinating, and enforcing systems, policies, and procedures.
- Purchases printed materials and forms by obtaining requirements; negotiating price, quality, and delivery; approving invoices.
- Improves program and service quality by devising new applications; updating procedures; evaluating system results with users
- Arranging the vouchers according to ledgers in each project file
- Maintaining petty cash
- Maintain inventory of office
- Payment of utility bills, vendor bills etc.
- Supervise office vehicle and responsible for review of vehicle log-books
- Preparation of summary of monthly fuel expense, food expense, communication expense etc.
- To keep accurate and complete record of financial transactions in the computerized accounting system
- To maintain proper filing of vouchers and backup documents and safe storage of cheque books and banking documents
- To arrange deposits of salaries, taxes and other employment related liabilities
- To ensure timely deposit of taxes and staff retirement fund and liaise with respective organizations to update records
- To support/oversee logistic arrangements for project activities and travel
- Review all invoices and make the relevant payments in a timely manner.
- Review accounting discrepancies and recommend corrective actions.
- Assist in implementing standard accounting policies.
- Ensure the preparation and maintenance of all financial records.
- Preparation of all monthly and annual finance reports in a timely fashion.
- Supervise and manage payroll processing and tax filing activities.
- Provide training and guidance to finance and admin teams as needed.
- Develop overall goals for the finance and administration departments.
- Be responsible for financial record keeping and administration
- Any other task (s) assigned by the administration.
Job Requirement
- A minimum of 14 grade degree in the field of business administration, public administration, management with focus on administration and finance and related fields.
- At least 3 years’ experience as admin-finance officer within NGOs.
- Proficient in the use of MS Word, Excel, Access, Power-point, and internet communication.
- Excellent English, Dari and Pashto speaking and writing ability
- Possess good interpersonal communication and organizational skills.
- Strong documentation skills
- Experience using advanced administration and financing software
