Job Description
Under the supervision of HR HoD, he/she will be responsible for supporting the public relation with internal & external stakeholders (government, partner & program unit) for all work related to project registration, extension, six months activities report, update online MIS, writing official correspondences. Further to this, he/she will be the focal point for expat entry and extension visa, obtaining & extension work permit & TIN for national staff and expat, keeping update the registration of ActionAid’s’ vehicles, Radio & Thuraya phone.
Job Responsibilities:
Expat Visa, Work Permit & TIN:
- Process on arrival Afghan visa & extension, obtaining work permit, TIN and police registration for expat staff and ensure all are kept up to date.
National staff work permit and TIN:
- Process and obtain work permit & TIN for all new staff upon his/her joining with ActionAid and proper recording and tracking.
Project registration and report:
- In coordination with the program manager/head of program update the MIS “MOE” by registering new and or extension project and prepare official letter to ministries and regular follow up.
- to ensure work-related records and documentation are recorded and safe according to program procedures.
- Ensure six-month activities report “hard & soft” is submitted to the line ministries and keep record of it.
- Use MoE MIS on-line system to update information related to HR.
Radio & Thuraya license:
- keep up to date the license of Radion & Thuraya and ensure all documentation, registration and license are recorded and tracked.
ActionAid’s’ vehicles registration and extension:
- Keep track of car registration and plan for extension through line ministry and traffic department.
Write official letters:
- In consultation with the program and line manager, prepare official correspondences/letters in Dari to the ministries.
Recording and tracking:
- Keep track and file MoUs, Six-months report, project registration, expat visa, work permit, car registration, radio registration, TIN etc. Process all issues related to public relations with all sectorial ministries and stakeholders related to registration of project and report.
Support the HR colleagues daily – especially on filing and documentation.
Work together with other HR colleagues to scan and maintain accurate soft & Hard employees’ personnel files.
Support the other HR assistant in reviewing and checking all HR file cabinets and cleaning unnecessary documents as per instructed by HR HoD.- Any other duties assigned by the line manager.
Job Requirement
- Bachelor’s degree in public relations/management, law, or social sciences.
- 3 years of previous experience in public relations and liaison.
- Good government knowledge, especially INGO law and workflow
- Good in written different official correspondence/letters in Dari.
- Communication skills, especially in Dari & Pashto both verbal and written with work knowledge of English.
- Fast typing skills in Dari & English.
- Sence of responsibility, integrity, and accountability.
- Patient, adaptable, flexible, able to improvise and remain responsive and communicate clearly and effectively with the government entities.
- Being organized, excellent planning, and coordination skills, with the ability to organize a workload comprised.
