AFGA has been working in the field of Reproductive health and Rights since its inception and has recently become an associate member of International Planned Parenthood Federation (IPPF). AFGA activities were suspended due to war and conflict in the country for ten years (1992-2002) and resumed its activities in 2002 with financial support from International Planned Parenthood Federation (IPPF). Job Description

Job Summery:

The humanitarian supplies chain assistant will provide support to AFGA humanitarian response on field level, as part AFGA-UNFPA project the position holder will provide overall support on humanitarian response particularly conducting needs assessment, managing non-food items prepositioning and distribution on field level according to approved plan.

TOR for Humanitarian Supplies Assistant 

Procurement and Supply Management:

  1. Receive and process requests for quotation for transportation of commodities and equipment.
  2. Implement purchases for coordination and the bases while respecting the rules and approval procedures established by donors and AFGA.
  3. Ensure that products purchased correspond to the requirements of the purchase officer's requirements in terms of quantity and quality
  4. Ensure compliance with administrative procedures for the management of advances and payment of suppliers.
  5. Establish and archive purchasing files in accordance with the rules of AFGA and its donors.
  6. Archive all documents related to purchases and supply.
  7. Provide support to logistics operations and activities, following standard processes and facilitating, directly or indirectly, the effective delivery of goods to various IPs.
  8. Support timely delivery of commodities and supplies to authorized partners and destinations.
  9. Assist in monitoring inventory management processes to track trends and account for the inventory status from source to beneficiary.
  10. Assist in management of commodity accounting data quality and integrity.
  11. Process documentation for execution of logistics operations (e.g., GRNs, DSs, Stock cards, invoice verification, etc.), take appropriate actions to resolve operational issues escalating various issues to the supervisor.
  12. Liaise with internal and limited number of external stakeholders to support efficient logistics operations management.
  13. Record daily stock in and out for the coordination office.
  14. Carry out monthly stock inventory for coordination and reconciliation with what should be in stock.
  15. Regularly monitor the quality of products during storage. Pay special attention to expiration dates.
  16. Archive all documents related to stocks
  17. The supply assistant is overall responsible for maintaining update inventory records of the project including all program supplies and services.
  18. Stocking and distributing supplies, equipment, compiling balance, cost, maintaining and updating records and inventory database
  19. Reports on inventory levels, supply chain progress, procedural efficiency and personnel issues to upper management.
  20. Oversees and regular counting materials, equipment or supplies of project in office and stock
  21. To undertake all other duties and responsibilities as assigned by the supervisor

Job Requirement

Education:

At least bachelor in social science (BBA, BBA/IB, Bachelor in economics, Bachelor in Art, Bachelor of political science and other relevant fields).

Experience:

At least two years of working experience in procurement, supply chain, logistic, inventory management and transportation with national or international NGOs or public entities).

Skills:

  • Good English skills (speaking, writing & listening)
  • Good Computer Skills (MS. Office).
  • Ability to cope with stressful situations.
  • Excellent communication skills, both oral and written.
  • Excellent self-motivation skills.
  • Experience in effectively dealing with other AFGA offices staff.
