About DHSA-Rana: Development and Humanitarian Services for Afghanistan (DHSA) established in 1992, the mission of DHSA is to redefine development in Afghanistan by promoting a dynamic and capable civil society as a means to foster local ownership of development, dignity and a peaceful & sustainable future for all Afghans. Throughout the 1990’s, DHSA focused primarily on drawing strength from local knowledge and traditional relationships to fill gaps, caused by a weak national government and absence of public services. During this time, DHSA focused on activities such as water sanitation and irrigation, education, food assistance to drought affected populations, and rural rehabilitation, matching local know-how with the financial and political support from international aid agencies and donors such as EC, USAID, WFP, WHO, the UN, Canada fund/Care International and Novib. The political changes brought by the Bonn Agreement in 2001 allowed DHSA to add development of civil society in Afghanistan – through its media, education and various community development projects – to its portfolio, in addition to humanitarian assistance. To achieve its mission, DHSA presently operates five activities: Humanitarian Activities Public Media and Communication (TKG), Education Cultural Heritage Environmental Protection
Job Description
Under the Direct Supervision: - School Coordinator /School Principal
The incumbent’s responsibilities include, but not limited to the followings:-
- Finance:
- Prepare projection for School expenses according approved budget
- Make sure projection clear on time according DHSA policy.
- Receiving fees from students on time manner and deposited to DHSA school bank account
- Provide Cash count report on monthly base keeping the transparency on priority
- Work together with School principal and coordinator to managed administrative issues
- Implementation of Financial Policies and Procedure according to DHSA rules and regulations
- Helping the Finance Manager in preparing income reports for Management.
- Maintenance of office record and filing system in an effective manner.
- Also prepare, manage and analyse bank reconciliation statement on monthly basis.
- Prepare and process the payroll according to the attendance sheet received from the HR department.
- Manage School database and other automated accounting system.
- Store Management:
- Monitors the building and equipment maintenance taking appropriate action accordingly;
- Responsible to keep track of the store and make purchases accordingly.
- Preparation of stock requests, travel reimbursements, advances and other logistical issues.
- Tracking of asset issued to employees and to regularly update the inventory in online database
- Keep control stationery and food expenses and maintain proper record of stock materials
- Keep update of employees contact List
- Transport:
- Takes care of all activities related to transport coordination, preventive maintenance, security measures, scheduling, tracking and routing transport vehicles at school level
- Ensures that all the vehicles possess necessary legal documents and are maintained in a proper manner to avoid any type of damages and loss.
- Responsible for preparing the drivers attendance on daily basis and report it to HQ office for verification and payment process.
- Takes care of recruiting, training, mentoring and coaching all transport, workshop staff and the drivers.
- Monitors all the needs and requirements of the transportation department including fuel, workshop equipments, vehicle accessories, facilities and spare parts regularly and raise purchasing orders in a timely manner to ensure effective and efficient transportation services for the company.
- Develops an effective system to ensure that students reach their destinations safely, on time and in the most cost-effective way.
- Manages budgets, organizes schedules & routes, ensures that vehicles are safe and meet legal requirements, and makes sure that drivers are aware of their responsibilities
Job Requirement
1: University degree in administration, human resource management or other relevant degree to the post.
2: Fluency in Dari, Pashto and English.
3: At least 3 years of experience in the field of Administration, Finance.
4: Skillful in interpersonal, time management, communication, and problem solving skills
5: Very good computer skills like internet, MS office etc.
6: Experience of team working, good planning, organizational, analytical and decision-making skills
7: Able to work under pressure and ready to accept the deadlines for the activities.
