Job Description
Scope of work:
The Data Management Assistant will support the Data Management Officer to ensure the availability of reliable, high-quality data to monitor and report against the programme. In strong collaboration with the project team, the Database Management Assistant will play an important role in improving data quality and information management to strengthen analytical processes and facilitate knowledge sharing and learning across the project. The data management assistant is inclusive of project information from the field, contracts, reports, and any other important correspondence. The Data Management Assistant will report to the Data Management Officer.
Main Responsibilities:
- Develop Open Data Kit and Excel database.
- Develop virtual MIS filing systems.
- Analyze the project data to contribute to evaluation reports.
- Input collected information into databases through smart phones and/or PCs in a timely manner.
- Review and clean data to ensure quality, accuracy, completeness.
- Translate interviews and survey responses.
- Provide weekly and monthly reports to Data Management Officer,
- summarizing tasks completed, challenges encountered and possible solutions.
- Participate in trainings on data collection techniques and data analysis.
- Perform other tasks assigned by the supervisor in relation to project monitoring, evaluation, and data analysis.
- Demonstrate a high level of professionalism, ethics, integrity, confidentiality, and respect for the respondents.
- Abide by applicable SCA policies and procedures.
- Identify problems with data quality and communicate issues with program staff and district managers.
- Assist with regular data review and cleanup to maintain overall data integrity.
- Assist in troubleshooting data submission errors and data issues.
- Performing filing system and documenting procedures for data preparation.
- Manage beneficiary database management system and enter beneficiary's data into the database software by inputting alphabetic and numeric information.
- Prepare source data for computer entry by compiling and sorting information, establishing entry priorities.
- Transferring data from paper formats via computers, as deemed necessary.
- Updating any changes in the project entered data and other information received form field staff.
- When necessary, verify data by correctly checking and comparing source documentation.
- Organize paper formats, paper back-ups, and materials source files as needed.
- Assist in data reporting and analysis.
- Assist in producing weekly, monthly, annual data reports.
- Assist in developing and update project’s action plan.
- Support Trial/data management Officer in checking data and IT’ problems
- Regularly back up data as assigned.
- When necessary, verify data by correctly checking and comparing source documentation.
- Organize paper formats, paper back-ups, and materials source files as needed.
- Perform other duties reasonably related to the position as directed by program manager or data management officer.
- To travel in the project coverage areas as per the need.
Job Requirement
Qualifications & Job Requirements:
- Bachelor’s degree in Computer Science, Information Technology, Business Administration, and any other relevant professional field.
- At least 2 years progressive experience in a similar role.
- Experience in monitoring and evaluation of projects.
- Experience in data collection and database management
- Documented results related to the position’s responsibilities.
- Good Knowledge of English.
- Ability to work under pressure with tight deadlines.
- Sound knowledge of administration, planning, budgeting, execution, and report writing both narrative and format reporting.
- Strong interpersonal and communication skills and capacity to deal with different stakeholders, rural communities with varied political/socioeconomic and educational backgrounds.
