Job Description

Al-Mouwasat Welfare Organization is presently looking for energetic, hardworking and experienced Branch Office Coordinator, as part of the Al-Mouwasat Operations team building process. We encourage all professionals to submit job applications and CV before the deadline indicated.

Job Requirement

General:

 

  • The Branch Office Coordinator will plan and organize, efficient, and communicative coordination system between main office and branch office according to the project management of Al-Mouwasat organization.
  • Monitor, coordinate, and communicate the strategic objectives of the projects
  • Collaborate and communicate successfully with other entities outside of the organizations
  • Work with other staff members to develop a greater understanding of the projects and any issues that arise
  • Develop and foster relationships with the community, stakeholders, and other entities
  • Collect, analyze, and utilize data and feedback to identify opportunities to improve the relationship between the main office and the branch office
  • Compile reports about particular incidents, events, or updates about an important issue for the organization
  • Proactively solve conflicts and address issues that could occur between the project implementation
  • Promptly respond to incidents and other events as necessary
  • Act as a positive representation of the project to the community
  • Self-motivated with a willingness to take initiative and solve complex problems
  • Capability to negotiate with and influence others
  • Analytically and mathematically minded to analyze data and create necessary reports

 

Administration Management:

 

  • Supervision of the administrative staff within the branch office
  • Ensure workload management, completion of time entry, general attendance and other office management tasks.
  • Responsible for all official travel arrangements including hotel reservations and airport transport for senior staff coming to branch office and staff traveling outside of the branch office to main office for official business.
  • Manage logistics and other arrangements for the project events such as: workshops, business meetings, etc.
  • Manage filing and filing log for the project correspondence as required.
  • Support renewal of project vehicles licensing and insurance. Ensure all are in compliance with local regulations.
  • Supervise Driver’s and Vehicle Fleet.
  • Prepare inventory/equipment lists for projects, as required.
  • Liaising with media, ministries and other partners in outreach and public relations to cover Al-Mouwasat Welfare Organization’s’ services. 
  • Perform other duties as required and requested by supervisors

 

Finance

 

  • Establish and monitor procedures for processing invoices, accounts receivables, account payables, cash handling, and related bookkeeping functions.
  • Establish and monitor procedures for timely payments of the utility bills, rent, and electricity and other regulatory requirements.  
  • Maintain master file copies of agreements regarding leases, vendor service contracts, and other business agreements.
  • Send a daily/weekly and monthly cash requirement for following day, submit expenses details and cash tally on physical basis.
  • Ensure the funds needed for the expense and send a regular projection as per the schedule.
  • Clear communication and coordination with supervisor and all concerned depts. 
  • Perform other duties as assigned by supervisor.
