Job Description
(Job Summary):
Under the guidance and supervision of the Supervisor Admin / Logistic or his/her nominees, the Admin Logistic officer is responsible for applying logistics-based management techniques, operational oversight, handling procurement locally and internationally, maintaining coordination between departments and responsible for all aspects of the logistic and AKAH procurement services. The Admin / Logistic Officer shall perform the following key functions:
(MAIN RESPONSIBILITIES AND TASKS):
- Regularly checks/verifies capital asset with cooperation of finance and update the list; incorporate any new assets in the list and assign tags and complete the Asset Assignment Form
- Design and conduct logistics and supply needs assessment and prepare plans based on that
- Ensure timely supply of fuel, stationary, minor IT equipment, office required equipment, printing services and etc. with maintaining professional relation with suppliers and using other processes in accordance with AKAH logistic rules and regulations
- Provide an uninterrupted support to AKAH operation in terms of logistical arrangement and control office inventory
- Maintain details of expenditures, prepare requisitions and purchase orders, verify invoices, and order supplies and equipment
- Ensures the timely and cost–efficient delivery of tasks and duties, such as sub-contracting of local companies, renting or rehabilitation of office premises, office equipment and supply, transportation and fuel agreements
- Ensures proper record keeping of inventory
- Liaises regularly with the procurement section to ensure a seamless receipt and further delivery of goods and items
- Assist in managing day –to-day Logistic for Head Office and provide all necessary logistic inputs
- Market survey for new materials and development of new sources of supply
- Coordinate clearance of AKAH export/import in liaison with handlers and customs officials
- Coordinate with the management team to ensure timely and cost-effective purchasing of materials, equipment and other services necessary for the effective implementation of the initiative
- Maintain Stores and Warehouse records accurately and setup the Warehouse system
- Participate in annual budget meeting within the operation unit and assist Operations Supervisor with administration budget
- Process and handle mass procurement within country and abroad in close coordination of the procurement committee and finance
- Any other tasks assigned by Operations Supervisor and/or his/her nominee(s)
Job Requirement
SPECIFICATIONS (MINIMUM REQUIREMENTS):
Education:
- Diploma in Business Administration, Bachelor’s degree would be desirable
Experience:
- Minimum 4 to 5 years of Admin / Logistic/Procurement experience in AKDN, UN and other international organizations.
Skills:
- Fluency in reading, writing, and speaking of English and local languages.
- Flexible, having positive attitude and the ability to work under pressure and give high commitment.
- Excellent communication and interpersonal skills.
Technical Skills:
- To have excellent knowledge of computer program (MS. Office).
Other Skills:
- Ability to travel to AKAH operation areas.
Personal Characteristics:
- Should be patient and work long hours and under pressure
