About Future Generations Afghanistan: Future Generations (FG) is the collective name for an international network of non-governmental organizations including FG Country Programs in Asia and Africa, Future Generations University (FGU) and its alumni in 17 countries, academia, and individual’s experts. The original charitable organization, Future Generations, was established in 1992 for the purpose of learning from, and building upon the world’s most successful examples of community empowerment and social change. It is complemented by the Future Generations Graduate School (Future Generations University) in 2006 in the State of West Virginia with authorization to provide a Master's Degree in Applied Community Change focus on Conservation and Peace building. The Future Generations Afghanistan (FGA) established in May 2002 and obtained its registration certificate from Ministry of Economy, Government of Afghanistan in October 2005. Since 2007, FGA has been operational in Eastern Afghanistan, and successfully completed development and humanitarian programs in Nangarhar, Laghman , Kunar,Nuristan,Logar, Wardak, Nimruz and Herat Provinces.

Job Description

The Admin/HR Officer is responsible to manage all HR/Admin-related activities on the provincial level “HR Databases, Personal files, Payroll, Timesheets, Staff interview arrangement, kitchen management, guest house management, maintenance, and cleaning management.

Job Requirement

  • Develop, track, record and report generators fuel usage, equipment and maintenances and ensure smoothly operations equipment and tools at the project sit.
  • Facilitate timely, accurate month-end closing, cash requests and cash reconciliations.
  • Receiving complete documents, invoices, bills, etc… insuring the proper name, date, stamp and supportive documents
  • Manage Staff Salary, leases and subcontractor payments on schedule
  • Process the recruitment for all positions in the project
  • To record and archive the released/terminated employee’s personal files.
  • Ensuring that project expenditures are adequately tracked according to the agreed project budget in close coordination with Admin & Fin Responsible for the confidential filling and archiving of all personnel files. Periodically checks files to ensure all missing documents are provided, securely keep in both hard and soft copy in line with FGA filling key. ance Manager and on site Project Manager
  • Takes keen interest in securing proof of life forms from all staff for secure storage as per FGA guidelines
  • Oversee the work schedules, attendance and performance of all support staff including drivers, cook, cleaners and guards
  • Oversee the record of office guests and visitors
  • Assisting in maintaining personnel files. Ensure all relevant documents are filed for Kabul office.
  • Implement hiring process: Help, conduct, document and verify references in consultation with hiring manager ensure job contract and all HR/administrative documentation for personnel file is complete.
  • Ensure that all HR documentation is completed and filed, and that personnel records are complete and kept confidential.
  • Responsible for supervising cooks, cleaner
  • Ensure the hygiene and cleanness of office as well as guesthouse.
  • Providing accommodation to staff/visitors
  • Carries out Admin-related operational such as letter in an out registration
  • Proper management of FGA guest houses in the field and accommodation arrangements for staff
  • Ensure timely provision of office space, desk and accommodation for incoming staff
  • Take charge of assets such as office furniture, fitting, building and equipment

 

Qualification:

  • Good communication and interpersonal skills.
  • Ability to work as a team player.
  • Experience in managing small teams of administrative staff.
  • Ability to keep sensitive information confidential.
  • Fluent in Pashto and/or Dari with skills in English.
  • Good self-starter with effective time management skills and high levels of the organization
  • Strong skills in coordinating and collaborating with others in partnership
  • Positive, solution-driven, respectful, and with a ‘can-do’ attitude
  • Computer skills (e.g. Word, Excel, PowerPoint
