Job Description

  • To assist Admin & HR Officer in recruitment process of new employees
  • To check and control attendance reports of all employees of head office and provincial offices.
  • Supervise and control all supporting staff members and give them the necessary guidance to improve the work process..
  • Recommend any new system which appears to make the work process more smooth
  • To file all types of correspondence and documents properly;
  • To make employment contract for all staff members and new employees
  • Check and employment contracts on yearly basis
  • To provide and prepare ID cards for all staff members and new employees
  • To update and maintain all personnel files in a confidential manner;
  • To laminate and bind all the necessary official books and documents;
  • To check general list, file index lists, and personnel status reports of projects on monthly basis
  • To update the contact sheets of head office and all projects on monthly basis
  • To ensure every staff member and every newcomer employee has personal file.
  • To archive all personal files of resigned staff members
  • To check all personal files on monthly basis
  • Recommend a good system of archiving the files
  • Renew the OCCD ID cards for every OCCD staff member at the end of each year.
  • To make sure that personnel policy is followed by all support staff.
  • Prepare the attendance and time sheets of head office on monthly basis
  • Prepare weekly report to Admin & HR Officer on weekly basis
  • Responsible for preparing and follow up of weekly schedule of duties for guards, and cleaners.
  • Update monthly leave balance sheet of employees on regular basis.
  • Any other task assigned by his/her supervisor

Job Requirement

  • Bachelor's degree in Business administration or related field
  • Working Experience of at least 2 years with NGOs and Governments offices.
  • Proficiency in MS Office Excellent written and verbal communication skills in English, Pashto & Dari including report writing to Supervisor.
