Job Description
Major Duties and Responsibilities:
ROLE PURPOSE:
- Implement and document all administrative activities, which include the support of the program in the provision of administration. As well as this job holder ensures coordinated and rational transportation/logistics arrangement for Ghazni and visiting Vehicles by scheduling and supervising drivers and passengers well; supports other logistic functions, including food service and procurement.
- He will be responsible for managing all administrative affairs and setting up a proper filing system. In the event of a major humanitarian emergency, the role holder will be expected to work outside the normal role profile and be able to vary working hours accordingly.
Key Accountabilities:
- The Admin Officer is accountable to carry out the following key role and responsibilities but is not limited to.
- Understanding program and operations staff transportation needs, and schedule drivers weekly to meet those needs: documents weekly transportation plan on an in-office whiteboard.
- Ensure responsiveness to change and emergency staff transportation needs.
- Ensure that you work to the best of your ability and demonstrate high levels of
- commitment to NAC to ensure the objective of your role and the program are met.
Ensure the effective and efficient use of all NAC Ghazni Regional Office resources to keep costs low and ensure safety in the workplace.- Prepare contract for leasing houses for Office/staff in Ghazni.
- Raise PR for the staff house material, Main office stationery, and other material which is needed.
- Ensure that high-quality material has been purchased.
- Lead, manage and motivate a team, ensuring that they have clear objectives and receive meaningful feedback on their performance.
- Manage all project files and records and ensure that data is adequately stored and backed up.
- Follow up with Finance, logistics, and related tasks of the program.
- Provision of administrative and logistical support to the training team.
- Sharing progress reports regularly.
- Carry out other duties and responsibilities as directed by the Line Manager.
- Comply with the requirement of saving the children’s Child Safeguarding Policy to Ensure Maximum Protection for children.
- Prepare and implement an action plan for quality monitoring.
- Facilitate project and activities information at all events such as training and workshops.
- Provide administrative support for matters relating to the premises and operations.
- Monitor and coordinate the upkeep and maintenance of the premises with services providers as per contracts, basic and lease agreements for the property.
- Arrange hospitality, purchase supplies to ensure the smooth running of the organization on a day to day and as required basis.
- Prepare correspondence, special reports, questionnaires, evaluations, and justifications related to specific and general administrative tasks within the area of responsibility, as necessary.
