Job Description
- Maintaining personnel files and make sure that leave records and timesheets of all staff are properly maintained and updated.
- Responsible for maintaining copies of personnel files for all staff – including recruitment documents, CVs, contracts, time sheets, employee data sheets, disciplinary papers and performance evaluations and etc.
- Assure that recruitment of staff adheres to HR/Admin policies.
- Assure that employee performance evaluations are completed by the technical team as scheduled and documented properly.
- Responsible for the orientation of all new national staff according to policies and procedures.
- Oversee the clearance of terminated employees as per the policies and procedures.
- Participate in disciplinary hiring and termination meetings with program staff upon request.
- Maintain confidentiality of all staff personnel issues including disciplinary procedures, Identify weaknesses in current HR systems, advise supervisor on outstanding issues and assist in designing and implementing as required.
- Conducting job analysis and preparing necessary documents for recruitment, selection allocation and staff orientation.
- Drafting job descriptions and vacancy announcement, contract agreements, and assessment sheets.
Maintain and monitor the attendance book; alert supervisors to poor attendance records of relevant staff.
Responsible for updating the staff leave database on a monthly basis.
Responsible for maintaining the supply of all admin forms and making them available for all offices.
Maintain up-to-date staffing lists contracts and pay rates.
Ensuring all staff are regularly oriented and trained about HR/Admin policies, Code of Conduct and Staff Handbook. This also includes proper monitoring over the implementation of the policies.
Preparing monthly timesheets attendance sheets and ensuring the leave records of all staff are properly recorded.
Job Requirement
- Bachelor’s degree in Human Resources Management or other relevant field.
- Three years of extensive experience working in human resources, or other similar area.
- Ability to handle confidential matters discreetly and gain the trust and confidence of colleagues.
- Experience in conflict resolution.
- Competence to assess priorities, manage a variety of complex activities simultaneously in a time-sensitive environment, and meet competing deadlines.
- Advanced verbal and written English skills fluent in Dari or Pashto.
- Excellent interpersonal communication skills.
- Flexible punctual and hard-working
- Excellent computer skill with familiarity of MS Office.
