Job Description

Job Purpose

Provides administrative support to project administration and project management. Maintains neat, orderly, complete documents and project files. The project administrative assistant will be responsible for facilitating, reporting and analyzing projects and all relevant documents under the supervision of project coordinator

Job Description

The Duties and responsibilities may include but not limited to:

  • Develop and manage EiE operations work plan and manage all ongoing operational needs across the EiE project in War Child UK office.
  • Assist in the recruitment, hiring and onboarding process for new staff members and consultants
  • Provide key support in liaising between EiE project as well as finance, human resource and operations teams.
  • Aid in the preparation of project proposals, EiE stationaries, teacher salary payments, and relevant project documentation.
  • Maintain accurate records of all information related to EiE project for documentation, clarification, and presentation to management.
  • Liaise with EiE team to identify and define project requirements, scope and objectives.
  • Assist in monitoring and tracking project progress, scheduling, and project status.
  • Offer general assistance to project officer and project coordinator as needed.
  • Provide support with miscellaneous data entry.
  • Assisting with related clerical duties such as photocopying, faxing, filing, and collating.
  • Prepare and provide documentation to internal teams and key stakeholders
  • Coordinate quality controls to ensure deliverables meet requirements
  • Coordinate transportation and maintain monthly transport log for EiE project.
  • Ensure timely settlement of payments (internet, transport, office rent teacher salary etc.).
  • Monitor monthly office expenditure and compile a quarterly budget request.
  • Coordinate with accounting firm for the submission of all withholding tax payments for staff and vendors on a monthly basis.
  • Facilitate timely settlement of legal deductions to relevant government entities.
  • Contribute to creating a culture committed to the safeguarding of children and adults and compliant to WCUK’s Child Safeguarding and Adults at Risk Policies.

Job Requirement

Person Specification

War Child in Afghanistan operates in a dynamic environment with a team of highly motivated and dedicated staff. The right candidate will share these qualities and bring effective leadership to a diverse team. The successful candidate will be creative problem solver and foster a solution-based approach to management.

Experience and mandatory criteria:

  • A degree in business management, business administration or a related field.
  • Minimum 3 years of relevant work experience in office or project administration assistant.
  • Proven experience in areas of office and project administration, petty cash management, handling vendors etc…
  • Excellent written and verbal communication skills in English, Dari / Pashto.
  • Detail oriented
  • High level of proficiency in Microsoft Office, particularly Excel, PowerPoint, and Word
  • Willingness to travel domestically to support project events in the districts and partially other provinces.
  • Fluency in English, Dari and Pashto.
  • Commitment to and understanding of War Child's aims, to, and understanding of, War Child's Principles and values' including child rights, child protection and gender equality.
