Job Description
Job Purpose:
The Project Assistant will support the Project Officer in the implementation of project interventions. This includes organizing community meetings, coordinating with relevant stakeholders, following up on project activities, conducting site visits when required, maintaining project progress trackers, performing clerical duties, developing and following up on implementation plans, and providing translation services as needed. The position holder will work under the direct supervision of the Project Officer.
Duties & Responsibilities:
• Support the Project Officer(s) in development of an implementation plan for the respective province, and development of individual plan for him/herself.
• Be able to translate documents for English to Dari, Pashto and from Dari and Pashto to English.
• Take meeting minutes and follow up on the progress of action points.
• Support the implementation process, by holding community mobilization meetings, selection of beneficiaries under the project, organizing trainings, coordination with relevant stakeholders and support in record keeping and development of progress reports.
• Support in facilitation of joint monitoring visits by stakeholders and project team. Lead the preparation and facilitation for such visits.
• Maintain a proper record of the supporting documents for training and other events, such as attendance sheets, distribution lists, pre and post-test assessment results, photos, and other supporting documents/evidence.
• Support the project officers in organizing trainings to project beneficiaries, MSMEs, CBDS and other market actors Afghanistan.
• Draft routine correspondences/documents related to Project and maintain project needed items including stationary.
• Actively participate in all project’s relevant meetings inside and outside ACTED and provide information on project progress, challenges and results achieved.
• Work closely with the AMEU and the project team to document and share case studies, success stories and field visit reports, data collection and surveys as and when required.
• Keep appropriate records and evidence of the implementation: attendance sheets, distribution lists, training reports/records, pre-post-tests, etc.
• Support the process of updating data in the database developed for the project activities, support quarterly data collection and entry processes.
• In consultation with POs liaison with other projects/programs operating in the enterprise development and livelihoods sector in the target districts to identify and taking account of development activities currently being undertaken or being developed in these sectors by the other NGOs/departments.
• Support the SPM and PC in monitoring the activities implemented by external suppliers ensuring quality of work and timelines of activities.
• Organize trainings to project participants on enterprise development, marketing, financial management, soft/life skills and other topics based on requirement (value chain analysis, market assessment, business management skills, feasibility study, business plan development, etc.) and provision of technical support.
• Any other task assigned by the supervisor.
Job Requirement
Bachelor's degree in a relevant field such as international development, project management, social sciences, or a related discipline.
• At least 2 years of relevant experience in project management
• Proficiency in computer applications, including MS Office suite and project management tools.
• Excellent written and verbal communication skills.
• Highly organized with the ability to manage multiple activities and deadlines effectively.
• Strong interpersonal skills and the ability to build and maintain relationships with diverse stakeholders.
• Creative thinking and problem-solving skills, with a results-driven mindset.
