Job Description
Key Responsibilities:
- Manage day-to-day administrative tasks, including maintaining office supplies, scheduling meetings, and coordinating staff travel arrangements.
- Assist in organizing meetings, workshops, and other events, including booking venues and managing logistics.
- Maintain inventory of office supplies and ensure timely procurement of necessary items.
- Assist in the preparation of financial documents, including invoices, receipts, and payment vouchers, ensuring accuracy and proper documentation.
- Maintain accurate financial records and support the admin finance specialist in preparing monthly financial reports.
- Support the tracking of expenses and financial transactions related to the project or organization.
- Check the requisition of procurement items as per the budget line and place to the Finance Manager
- Ensure timely procurement of goods and services and maintain accurate procurement records.
- Manage the logistics of office supplies, equipment, and project materials, ensuring timely delivery and proper storage.
- Ensure all financial transactions are supported by proper documentation, and comply with internal financial policies & external donor requirements.
- Maintain all the formats about administrative and office management
- Maintain the daily attendance register and update the leave status of all the office staff
- Maintain the vehicle and generator logbook on monthly basis.
- Assist in checking of list and items in store and the report prepares by the store keeper.
- Assuring the security and safety of monthly Petty Cash at a safe and secure place.
- Any other responsibilities instructed by the F&A Manager
Job Requirement
Skills and Qualifications Required:
- University degree in the finance, Accounting, Business Administration, or other relevant field
- Minimum of 3 years’ experience in financial management and administration within NGOs
- Good knowledge of accounting and financial management
- Ability to show initiative, manage multiple responsibilities and meet deadlines
- Proven skills in effective team work
- Proficiency in MS Office applications (Word, Excel, PowerPoint, and Outlook).
- Excellent communication and interpersonal skills, with the ability to work collaboratively with diverse teams.
- Excellent oral and writing skills in Pashto, Dari and English language
- Strong organizational skills, with attention to detail and accuracy.
- Familiarity with local tax regulations and compliance issues is an advantage.
