Job Description

Job Summary

The Programmed Reporting and Documentation Coordinator is responsible for collecting and following all regular reporting of the projects. The incumbent will finalize the donor reporting, including monthly, interim, and final reports of the projects, and update other required online reporting systems of the donors like Report Hub, HDIS2, cluster reporting, government reporting, etc. He or she will take care of the quality of the internal and external reports and contribute to the improvement of the program documentation.

Duties & Responsibilities

 

  • Taking the lead on prepare and finalize documents or regular reports including but not limited to interim, final, and quarterly progress reports, situation reports, Government reports, briefing and background information required by the IRW, donors, Government, and other entities, in coordination with project teams.
  • Ensures that the reports are systemized meet donor requirements and are consistent with the results framework.
  • Ensure that internal and external reports are drafted in a timely manner and with an attention to quality (coherence of data, quality of writing, justification of the gaps and variation, measurement of indicators, results and objectives, appropriate formatting, and presentation), including all necessary attachments and annexes.
  • Compile progress reports received from the project teams and submitted these reports to Head of Programs.
  • Support and advise project teams in means of reports in accordance with donor recommendations and reporting requirements.
  • Serve as a focal point for reports to donors and other stakeholders.
  • Maintain proper and standardized filing system for storing project reports and documents.
  • Analyzing the project progress data and information, find out progress gaps and informing to Head of Programs and project team.
  • Effectively liaising with different teams to gather the information required for the reports.
  • Creating and ensuring data collection templates are used by relevant team, including following up.
  • Periodically review reporting and documentation to determine whether the risks are being effectively managed and to check compliance with terms and conditions stated in the partnership agreement and MoU.
  • Supporting the programme departments to strengthen internal reporting mechanisms.
  • Supporting in responding IRW or donor requests for programmatic information.
  • Support in conducting assessment, study, research in Program Department.
  • Tracking of reporting requirements including submission schedule of all projects.
  • Supporting the Programme Team in drafting proposals and concept notes as required.
  • Coordinating with other sectors and departments for the provision of any additional reporting, documentation and editing support required.
  • Facilitating capacity development of staff on reporting and documentation process.
  • Supporting to the team for preparing and submitting government reporting and documentations.
  • Supporting for collecting data, information and submit periodic report at ReportHub or other reporting systems of UN.
  • Translate any documents when requested.
  • Any other task assigned by line manager.

Job Requirement

Education:

  • Bachelor’s degree or higher in social science, project management or related field.

Experience:

  • Minimum 5 years of proven working experience on project implementation, reporting, documentation, proposal development, need assessment in development sector organization.

Knowledge and Skills: 

  • Advanced computer skills on MS Office, related software, databases, and communication.
  • Pro-active with an ability to think analytically, identifying opportunities and mechanisms to broaden programming.
  • High attention to detail and excellent analytical skills
  • Self-starter, take initiative, and sound independent judgement.
  • Results oriented, and meticulous attention to detail with the ability to multi-task.
  • Analytical thinker with strong conceptual and problem-solving skills.
  • Ability to process large amounts of data and to compile detailed reports with excellent documentation.
  • Ability to work under pressure and meet deadlines.
  • Ability to work independently and as part of a team.
  • Ability to undertake travel to the field areas on regular basis.
  • Proven knowledge of standards and procedures of project management cycle.
  • Ability to maintain strong integrity on behalf of the organization.
  • Good command of English, narrative and analytical report writing skills, ability to do data analysis and draw inferences, good presentation and communication skills, MS Office – computer skills, general management knowledge, filing and documentation skills.
