About Keenly Humaniterarin Assitance for New Afghanistan Organization (KHANA): Keenly Humanitarian Assistance for New Afghanistan (KHANA) organization was established in 2014 under the registration number of 4319 Ministry of Economy. KHANA is a national, non-profit and non-governmental organization established to bring together human, financial and technical resources to address some of the KHANA challenges faced by the poorest and most marginalized communities in Afghanistan. Special emphasis is placed on investing in human potential, expanding opportunity and improving the overall quality of life, especially for women, girls and children. Job Description

Responsibilities and particular assignments

  • Overseeing and supervising employees and all activities of the purchasing department.
  • Preparing plans for the purchase of equipment, services, and supplies.
  • Following and enforcing the company's procurement policies and procedures.
  • Reviewing, comparing, analyzing, and approving products and services to be purchased.
  • Managing inventories and maintaining accurate purchase and pricing records.
  • Maintaining and updating supplier information such as qualifications, delivery times, product ranges, etc.
  • Maintaining good supplier relations and negotiating contracts.
  • Researching and evaluating prospective suppliers.
  • Preparing budgets, cost analyses, and reports
  • To implement and monitor logistics systems, in accordance with KHANA policies and procedures.
  • To establish and maintain good contacts with suppliers (local and international)
  • To report monthly and daily on all logistics activities to the Operation Manager.
  • To assist the operation Manager with logistics advice.
  • To perform any other duties as requested by the operation manager.

Procurement and storage:

  • To manage procurement of items based on authorized requisitions, in line with KHANA procedures.
  • To liaise closely with the Administrator/Finance Officer, on local and international procurement.
  • To keep records of and maintain contacts with suppliers and local repair/maintenance shops, and to conduct price comparisons among them, in order to get the best deals.
 

Job Requirement

Qualification/ Requirements

  • Minimum of 3 years of relevant experience working in procurement, preferably in an NGO/and/or development program, with in depth experience in managing procurement processes;
  • Strong knowledge and experience of implementing procurement processes, driving contract compliance and embedding buying best practice;
  • Excellent supplier management skills and a strong ability to hold suppliers accountable to deliver on their responsibilities;
  • Knowledge of NGO/Donor policies and their compliance requirements in respect of Procurement and wider supply chain activity;
  • Strong interpersonal and communication skills including influencing, negotiation and coaching;
  • Excellent organizational skills, with the ability to juggle multiple tasks with competing priorities and simultaneously stick to deadlines, whilst maintaining relationships with suppliers and customers;
  • Excellent reporting skills, particularly the ability to quickly develop clear and concise delivery tracking, scheduling or pricing while contributing to monthly KPI reports;
  • Willingness to undertake field travel as required and work in difficult environments according to travel environments;
  • Excellent oral and written communication skills; fluency in spoken and
