Job Description

Job Overview:

The warehouse Program support officer, in coordination with the  LTS Warehouse Manager/Area manager, is responsible for overall stock and warehouse record keeping, dispatch, receiving, and management of materials/goods as per WAW and UNHCR standard SOPs, as well as ensuring to support Mechanic and Program Assistant in inventory and management of the vehicles and generators spare parts in warehouse/workshop in each province where WAW has partnership with UNHCR at any time including weekends and extra hours while required.

Responsibilities:

Programme /Warehouse Management

  • Ensure compliance with WAW and UNHCR policies and standards for warehouse management is followed and implemented accordingly.
  • Ensure to have Proper record-keeping of storage and regular reporting maintained at the sub-office, with UNHCR, and the WAW.
  • Ensure Close coordination and collaboration with fellow UNHCR personnel and other WAW personnel within the region/province
  •  Ensure to carry out regular/Overall physical counting and monitoring of items movement from the warehouse with support from the program assistant
  • Ensure to Receive, stores, and issues of relief items upon receipt of action request as signed and approved by program/area manager /UNHCR focal point or Head of Operations.
  • Ensure verification, of the quantity of received items and cross-checks with delivery notes and waybills and report to the Warehouse Manager in a timely manner.
  • Supervises for proper update of documents (bin cards/stock cards) in accordance to the items' movement.
  • Ensure pro-actively act and take action on the release of requested items to any destination requested by the Warehouse Manager/Area manager and UNHCR focal point official request at any time (including weekends and extra hours while required)
  • Provide an updated report of item/s movement to the Warehouse Manager/UNHCR on a weekly/monthly basis. Oversee laborers' working/performance for loading and offloading of the trucks/items and warehouse maintenance
  • Controls for proper stock arrangement and carries out regular physical counts from all stock/items after every item’s movement with support from program assistants.
  • Ensure to provide weekly stock reports from all items to the Warehouse Manager and UNHCR in timely manner.
  • Support the Warehouse Manager and Area Manager in providing all kinds of donor reports (weekly/monthly/3 monthly and annual narratives/other reports)
  • Monitors safety, security, and stock arrangement of all warehouse buildings.

Perform any other tasks as instructed by WAW management

Job Requirement

  • Proven experience in warehouse/stock management for at least 3 years
  • Knowledge of office management systems and procedures
  • Knowledge of producing any kind of stock reports including narrative
  • Working knowledge of office equipment, like printers and fax machines
  • Proficiency in MS Office (MS Excel and MS PowerPoint, in particular)
  • Excellent time management skills and the ability to prioritize work
  • Attention to detail and problem-solving skills
  • Excellent written and verbal communication skills
  • Strong organizational skills with the ability to multi-task
  • Bachelor’s degree, or equivalent, in a related professional field.
