Job Description
Accounting 35%:
Ensure that financial transactions are entered accurately in excel database and QuickBooks.
Finance 25%:
- Ensuring that effective control is put in place in banking and cash systems.
- Making sure that all expenditures are paid as per the budget line and allocated to specified projects.
- Performing bank, customer, vendor and employees balance reconciliation.
- Engaged with procurement department for purchases and ensuring payments to suppliers and contractors.
- Preparing of financial statements and other financial reports as needed by the management.
- Interpret the company's financial results to senior management and recommend improvement activities.
- Engage in ongoing cost reduction analysis in all aspects of the company.
- Provide management, support and development to members within finance department.
- Internal control management, and reporting in timely manner to line manager.
- Assist with financial aspects of projects and business proposals.
- Ensure financial policies and procedures are up to date.
- Facilitating auditor in all manners to ensure compliance and transparency.
- Continuously work with the MIS team for building of HPL MIS system.
- Other task assigned by the CFO.
- Preparation of the company's budget(s).
- Report to senior management on variances from the established budget and the justifications for those variances.
- Forecast cash flow positions and available funds.
- Ensure that sufficient funds are available to meet ongoing operational and capital investment requirements.
- Analysis of financial information and report to senior management for organization decisions.
- Ensure that internal controls are put in place as per organization policies and procedures.
- Making sure that cash transfer to all project’s location are done smoothly as per finance manual.
Management 20%:
- Assisting and supervising the finance staff in financial management and monitoring them for performing their daily tasks.
- Regularly supervising and managing the usage and implementation of accounting
- Software and holding training to finance team on different admin/finance subject/matter as required.
- Assisting and supervising the finance team for supporting and strengthening of their daily tasks, coaching toward performance and team work and contributing toward annual appraisal.
- Continuously performing an active role as member of the senior management team.
- Manage the operations of the finance department, including the design of an organizational structure adequate for achieving the department's goals and objectives.
- Assign tasks to finance team as per plan on schedule basis.
Risk Management 10%:
- Continuously identifying the risk, specifically the financial risk threating the organization and designing, mapping and implementing risk management techniques.
- Leading the internal audit team on regular basis and appointing the external audit team on yearly basis are as required by the HPL top management.
- Highlighting the audits recommendation on the financial, administration and operation matters and ensuring that the shortcomings are rectified according to national and international standards.
- Inspecting the finance and admin section on identifying fraud or mismanagement of financial resources in accordance with the organization policies, procedures and legal requirement.
General Administrative Tasks 10%:
- Develop a filling system to ensure that all filling system are in standard form and meet HPL requirements.
- Attend the interviews, as panel member when requested by HR department of HPL.
- Any other tasks assigned by supervisor.
Job Requirement
- Education: Minimum Bachelor degree in Business Administration, Financial Management or any other relevant field, higher will be an advantage
- Experience: Minimum 5 year of relevant experience in financial management
- Experience in project management will be considered as asset.
- Proficient in standard computer applications and various accounting and financial management software. Good knowledge quick book financial software will be an added advantage.
- Extensive experience in financial reporting and knowledge of major donor rules including UNHCR, UNICEF
- Languages: Proficiency in both national languages and Excellent communication skills in English is required.
- The incumbent must be Punctual, reliable and have strong communication skill
- Self-Motivated, Quick learner with a positive attitude
