Job Description
Job Purpose:
Finance Manager position is designed to support the stewardship of KRO’s resources, monitoring budgets, forecasting, analyzing, reporting and providing core administrative support to enable effective management of funds, and ensure assistance to beneficiaries is undertaken in the most efficient and effective way possible.
Major Areas of Responsibility:
Finance Manager is responsible for establishing and maintaining efficient administrative systems and procedures to support the smooth running of the operations and ensure compliance with the KRO rules and regulations. Finance Manager is responsible for overall accounting functions for all projects and KRO office related accountings. This position also oversees certain administrative functions related to human resources, office supplies, equipment, vendor relationships, and office lease management.
Responsibilities of the Job:
- Manage daily, weekly, monthly, quarterly and annual all kinds of financial related issues as per KRO projects requirements and maintain daily cash-book, vouchers, pay bills, transactions, bank-book and etc.
- Prepare bill vouchers and checking bills with supporting documents and make sure to have an approval before all kinds of payments and transactions.
- Maintain all kinds of register and account related files.
- Manage an up to date record and filing system of all financial related documents.
- Ensure that all procurement is completed in accordance with the KRO & WFP financial Policies and Procedures.
- Ensure adequate funding for all procurement needs.
- Preparing appropriate financial reports as required.
- Ensuring the cash payments to Vendors and Suppliers are made on time.
- Prepare staff payroll, tax report and bank reconciliation as per policy on monthly basis.
- Ensuring on time payment of Salary, Rental and Contractors Taxes.
- Proper recordkeeping and regular reporting maintained at the office.
- Close collaboration and coordination with the program team on cash distributions.
- Ensure that accounting vouchers and support documentation are marked and stamped as PAID after proper authorization and processing.
- Preparation of midterm and annual financial report.
- Preparation of daily payment and/or liquidation process of financial transactions.
- Prepare monthly staff salary payments and income taxes as well as monthly staff Payroll reports based on KRO procedures.
- Assisting in the preparation of budgets
- Managing records and receipts
- Reconciling daily, monthly and yearly transactions
- Preparing balance sheets
- Processing invoices
- Ensuring all expenditures is based on budget line and is complying with the project Budget.
- Preparing Monthly Accountancy Report and financial statements of project on monthly basis.
- Any other duty as required by the board of director.
Job Requirement
- Bachelor/master’s degree in finance, Accounting or Economics
- Proven 4 years working experience as a Finance Manager, Finance Officer or similar role and have experience in the Finance policies and manuals of UN/WFP or similar organizations
- Advanced knowledge of MS Excel (creating spreadsheets and charts and using financial Excel functions)
- Good understanding of book-keeping procedures
- Time-management and organization skills
