Job Description
HR & Admin:
- Organize, structure and maintain a decent filing system on administration materials and documents (with necessary confidentiality where required) at provincial level
- Maintains accurate fuel records and logbooks for generators and vehicles on provincial office and report it to HQ Administration on regular basis.
- Process Purchase Orders for Foods, cloths, stationery, hygiene, detergent for Facility and Office equipment on regular bases.
- Mange the stock based on standards and always update the stock card.
- Maintain and arrange Food and Stationary Stock with proper recording system of usage.
- Supervise work of the cook, cleaner, guards & Drivers and provide regular feedback to (office cleaners, guards, drivers etc.).
- Monitors the building and equipment maintenance and take appropriate action accordingly.
- Keep control on stationery and food expenses and maintain proper record of stock materials.
- Submission of attendance Report and personnel action report to HQ on monthly basis.
- Regular Monitoring & Controlling Employees attendance.
- Provides support facilitating interviews/meetings/events management of Provincial /Centre Level
- Schedules Written Test and Interviews when required and send the scanned documents to HQ HR after conducted written test and interview
- Conduct HR orientation for new employees
- Assist the CSC Manger and HQ HR, Admin team with coordination of the Annual Performance Management Process; including distribution and collection of documents, scheduling meetings, tracking and reviewing forms as they are received.
- Responsible for maintaining accurate and complete personnel and recruitment files; updating the files based on the checklist as necessary
- Assist with HR data management including; coordinating documentation and filing of updates to emergency contact information and leave record.
- Track employee probation periods, advises the CSC Manager and HR team of upcoming probation end dates, send the probation evaluation form to the direct line supervisor in advance, so there is plenty of time to take necessary action; ensure probation documentation is returned in a timely manner and fully completed and filed.
- Assist to the CSC manager for arranging of monthly staff meeting and providing of meeting minute.
- Provide letter to stakeholders based on need.
- Ensure documentation for the recruitment file checklist is collected, recorded and filed and a copy is shared with HQ
- Able to work overtime on weekends or holidays when required.
Monitoring Evaluation and Reporting!
- Provide monthly, quarterly, annually or based on need report from the CSC activities and share with CSC manager or HQ Reporting Communication Manager timely.
- Have always update data of the CSC children.
- Check the documents of CSC based on department reports specially (Social workers, psychologists, medical doctor, child protection trainers) before reporting to the HQ.
- Coordinate with Badakhshan region facilities’ CSC manager for collecting data against agreed project indicators and facilities’ Standard Operating Procedures (SOP)
- Support monitoring and evaluation activities of the projects in Balkh CSC region and report to CSC Manger/ M&E manager at HQ.
- Support any external monitoring and evaluation activities conducted by donors and/or third parties.
- Write the monitoring and/or field visit reports and provide action plan based on finding gaps.
- Attend meetings, workshops, and conferences as necessary related to the project
- Conduct field visits as necessary related to the project included but not limited to Balkh province.
- Assumes other responsibilities as assigned by the CSC Manager or HQ Reporting Communication Manager.
Job Requirement
- Bachelor of Business Administration, highly skilled in computer is preferred.
- Knowledge of monitoring and evaluation, research and analytical skills
- Good communications, interpersonal and reporting skills
- Good command on Dari, Pashto and English Languages.
- Familiar with MS office and internet.
- Strong analytical skills.
- Able to manage and plan the work effectively and meet deadlines
- Ability to build strong lines of communication with all WAW headquarter provincial staff
- Excellent organizational, coordination, and communications skills & Ability to travel.
