About AYSO: Afghan Youth Services Organization (AYSO) is a non-governmental, non-political and non-profit organization that was registered with the Ministry of Economy with registration number 397 in 2006. AYSO since its establishment has successfully implemented numerous humanitarian projects in urban, semi-urban, and rural areas with different geographical, demographic, and security situations in several provinces of the country. AYSO has been implementing Health, Nutrition, WASH, Food Security, Agriculture, Rural & Urban Development, Protection, Education, Capacity Building, Behavior Change, Social Development, Youth well-being, Gender Equality & Equity, Charity and Emergency Aid, Peace & Youth, and stability projects, as well as researches, assessments, studies and surveys for the different thematic areas.
Job Description
- Develop project planning in coordination with the finance team and other relevant departments to ensure the timely availability of resources for conducting the planned activities.
- Work closely with the finance team in investigating the reasons for variance between planned expenditure and actual expenditure, and accordingly revise the plan.
- Support the finance team to timely submit financial reports to the donors by the finance department.
- To work closely with the HR department in Kabul to ensure positions are filled through proper procedures of AYSO and according to proposed staffing and budget availability.
- Prepare the draft job description for technical staff and provide it to HR in the recruitment process.
- Ensure staff annual performance appraisals are carried out in a timely manner.
- Solve conflict among staff if any and promote teamwork.
- To work in close coordination with the procurement/logistic department to ensure all procurement is done according to plan and due time and within budget.
- Work with the Project Manager to prepare monthly cash forecasts for emergency food security and project activities.
- Keep and maintain all documentation relating to emergency response project activities to ensure accountability to the donors, FSAC, AYSO management, and project stakeholders.
- Supervise project all staff who are responsible for the selection of beneficiaries, planning, monitoring, and payment to project beneficiaries.
- Support the field office and control any procurement made in the field office in close coordination with the procurement department of the main office.
- Provide support to project managers/officers for conducting pre- and post-distribution monitoring visits to project implementation sites.
- To trigger and lead any amendments, and changes and ensure compliance with donors and internal organizational policies and procedures.
- Field office visit for orientation of the provincial management on the donor, and contractual requirements.
- Ensure regular supportive supervision is carried out from the field offices and technical support is provided.
- Provide feedback to provincial management on the findings of the supportive supervision carried out by the grant coordinator.
- Review the quarterly report before submitting it to the donors.
- Ensure the timely submission of technical and financial reports to donors based on reporting calendar agreed upon in the relevant project’s contract.
- Active participation in the relevant meetings at the central or provincial level.
- Risk analysis of the overall projects and reports to the managing director programs.
- To work closely in the proper closeout of the projects.
Job Requirement
- Bachelor’s degree in any field of social science agriculture, agronomy, agricultural development, or related field compulsory.
- Previous work experience in food security and livelihood program.
- Managerial – including project implementation budget management report writing monitoring and supervisory skills
- Problem-solving and negotiation skills
- Experience in training facilitation and material development
